Administrative Assistant
The Administrative Assistant (AA) is a third‑party provider’s employee who executes administrative and corporate tasks on behalf of the Flight Operations Country Manager (FOCM) and is responsible for supporting Cabin Crew Base Manager’s duties and providing the administrative and clerical services to ensure effective and efficient operation.
Responsibilities
- Administration of HR issues (newcomers, exits, paper contract distribution, collection and processing, keeping record of tests/upgrades, meeting minutes warnings, etc.) for the crew at the base
- Ensuring the proper flow of communication between CCs and BM, Flight Crew (FC) and FOCM, as well as BM and/or FOCM and other parties involved
- Handling incoming post from outside the company as well as all documents coming from the CCs and/or FCs directed to BM/Associated BM (ABM)/FOCM or other parties
- Sending the post to HQ in Budapest or other bases when requested by BM/ABM/FOCM
- Collecting and checking expense and travel claims, unpaid leave request forms and sick‑leave paper on the base
- Maintaining office supply inventory
- Maintaining office equipment
- Managing company benefits
- Taking care of parking cards/transportation allowance at the base
- Keeping the base guide up to date
- Organizing shredding according to company needs
- Collecting and handling cabin operation forms filled and signed during duty: Lost/Damage/Injury/Illness, FW/FDIR/HIGH Value
- Ensuring that the Flight Operations flight envelopes are stored in the base office for a minimum period of 3 months after the flight and are destroyed after 3 months of validity by contracted companies
- Following up on flight‑crew related delay codes and reporting on‑time performance to the FOCM
- Administration of uniform distribution and complaints
- COVID‑related paperwork, distribution list updates and matters
- Government requested COVID related travel document issues, handling and distributions

Fiumicino Airport.
Training requirements
Departmental policies training.
Minimum requirements / Skills and competencies
- Detailed understanding of safety principles surrounding aircraft operating processes and procedures
- Understanding of departmental operating policies, procedures and processes
- Excellent communication and organizational skills
- Excellent problem‑solving and time‑management skills
- Excellent English (both written and spoken)
- Computer literacy (MS Office: Outlook, Word, Excel, PowerPoint, …)
- Excellent work performance and attitude shown
- Previous office–related work experience is an advantage
