DURATION: 03 August 2026 – 03 October 2026
BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
Under the supervision of the Resource Management Lead within the Communications & Media Office (COM), the Business Support Assistant will provide administrative and operational support in the areas of travel, human resources, and general office management to ensure the smooth functioning of divisional activities.
ACCOUNTABILITIES/RESPONSIBILITIES:
1. Travel Management: Through the corporate travel platform (WeTravel), raise Appointment and Repatriation travel for International Consultants, TDY assignments and Duty Travel.
Process travel authorizations (TAs), including air ticket issuance, DSA, and hotel arrangements as required.
Monitor and ensure timely settlement of travel-related payments and respond to travel-related queries.
Maintain an updated travel tracking spreadsheet, including travel dates, budget codes, and costs.
2. Assist in the preparation of the Appointment/Re-appointment requests for consultants.
Assist in drafting and formatting HR documentation (HR-071 forms, TORs) and coordinate approvals and signatures by the hiring managers and the Director
Regular update of Consultants’ spreadsheet with relevant JR no. and contract details
3. Divisional MSLS Focal Point, managing the full process at the end of each month for all International Consultants, upon confirmation via email of their attendances/absences and submission of their attendance sheet in Workday.
4. Divisional Focal Point for Consultant separation processes.
Ensure that the process is thoroughly processed within the NTE date by all Units, ensuring completion of the Separation Clearance Form, PACE.
5. Other Administrative Tasks:
Provide support for IT asset management (laptops, mobile devices, Ipads etc.), including inventory tracking and registration in Wings/Gems systems.
Provide occasional front office support and assist with meeting scheduling and calendar management, as needed.
Perform other administrative duties as required.
- Maintain WAE Consultants’ monthly working days on an Excel spreadsheet for budget purposes. In addition, maintain the REG Consultant’s spreadsheet regularly updated.
- Respond to routine Administrative and HR queries on BIS, contractual dates, separation process to provide a timely and accurate response to COM staff.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: Secondary School education.
Experience: Minimum of three (3) years of relevant administrative experience.
Knowledge & Skills:
- Strong organizational skills and attention to details;
- Ability to work independently;
- Strong interpersonal skills and the ability to work effectively with people from diverse national and cultural backgrounds;
- Knowledge of Workday, WeTravel systems;
- Familiarity with WFP / UN systems is highly desirable.
Languages: Excellent written and spoken English.
Working Arrangements: Full-time presence at WFP Headquarters in Rome.
