**A Day in the Life**
The Ear, Nose and Throat (ENT) Operating Unit is looking for an Executive Assistant to support the Vice-President Commercial ENT International with a broad range of administrative and coordination responsibilities.
We are seeking someone with strong experience in drafting communications, including announcements, invitations, Organizational Health Survey results summaries, all-employee communications, and town hall or meeting communications.
The ideal candidate will also be able to manage calendars, meetings, and travel, coordinate interviews and onboarding, prepare reports and meeting materials, support strategic meeting logistics, and contribute to process improvements in a dynamic, international environment.
This role will report to the VP Commercial ENT International.
Occasional travel is expected.
**Responsibilities may include the following and other duties may be assigned:**
+ Manage the overall Global Business Partnerships Team, including weekly, monthly, quarterly, and annual meetings, town halls, team communications, strategy documents, action item tracking, team building, and community events
+ Provide administrative support, including maintaining calendars, meeting and conference coordination, travel coordination, expense reports, preparing communications, ordering supplies, processing invoices and purchase orders, creating meeting minutes, managing agendas, tracking actions, and maintaining org charts and email distribution lists
+ Perform a wide variety of non-routine administrative tasks, including supporting periodic special projects or assignments
+ Gather, compile, and report on information relevant to the VP’s assignments, such as Organizational Health Survey analytics and training completion performance
+ Use problem-solving skills to support process improvement in systems, processes, and communications
+ Assist with onboarding new, direct staff members and provide into overall extended team onboarding program
+ Manage logistics for quarterly strategic meetings at various global sites, including content preparation, catering, AV set-up, and venue bookings
+ Coordinate with HR, TA, and the Hiring Leader to schedule interviews for staff-level department openings
+ Effectively manage scheduling with internal and external third-party partners, such as hospitality venues and transportation/logistics carriers
**Required Knowledge and Experience:**
+ Associates or Bachelor’s degree or equivalent with 6+ years of administrative support experience
+ Strong organizational, technical, communication, and influencing skills, both written and verbal, with the ability to work confidently across all levels of the organization and with external business contacts
+ Expert working knowledge of Microsoft Office, including Teams, PowerPoint, Word, Excel, and Outlook, with the ability to create meeting materials and follow up to ensure content is received on time
+ Proven experience supporting projects and managing multiple priorities in a dynamic environment, while handling interruptions professionally
+ Experience working with confidential and trusted information
+ Strong drive for results, responsiveness, self-initiative, and the ability to quickly learn and handle a wide range of projects, tasks, and issues in new and effective ways
+ Ability to travel 3 to 4 times per year, approximately 10 to 12 days annually
