Your New Role
As a Personal Assistant, you will provide proactive and high-level support to senior leadership, acting as a key coordination point across internal and external stakeholders. You will play a crucial role in ensuring the smooth management of daily activities, priorities, communications, and administrative processes.
Key responsibilities include:
- Managing complex and constantly evolving calendars for senior directors;
- Coordinating national and international travel arrangements;
- Organizing internal and external meetings, ensuring seamless coordination among multiple stakeholders;
- Acting as a primary point of contact for clients, senior leaders, and internal teams;
- Building strong relationships with colleagues and Executive Assistants at both local and international levels;
- Supporting the organization of team meetings and company events;
- Anticipating business needs, priorities, and potential challenges while proposing improvements and solutions;
- Preparing, formatting, and reviewing documents and presentations according to company standards;
- Managing large volumes of information while meeting tight deadlines;
- Providing occasional support to front-office activities and ensuring a professional experience for visitors and clients;
- Supporting senior leadership in daily administrative and organizational activities.
What You'll Need to Succeed
- At least 5 years of experience as Executive Assistant, Personal Assistant, or in a similar high-level support role;
- Proven experience supporting senior management within structured and international environments;
- Excellent communication skills in both Italian and English;
- Advanced knowledge of Microsoft Office applications;
- Strong organizational and planning skills, with the ability to manage multiple priorities simultaneously;
- Ability to work effectively under pressure and within tight deadlines;
- High level of discretion, professionalism, and confidentiality;
- Strong stakeholder management and interpersonal skills;
- Proactive mindset with excellent problem-solving capabilities;
- Adaptability, flexibility, and ability to thrive in a fast-paced environment;
- High attention to detail and commitment to quality.
Additional European languages such as French, Spanish, or German will be considered a plus.
