Agilité is looking for an Office Manager to join its Milan team, ensuring the efficient, well-organised, and high-quality functioning of the office environment. The role involves coordinating administrative, operational, and communication activities, providing support to leadership, and contributing to the overall effectiveness and professionalism of the organisation. Reporting directly to the Country Head, the Office Manager will act as a key point of contact for internal and external stakeholders, ensuring smooth office operations, effective communication, and a productive working environment.

Office Operations.
· Ensure the smooth day-to-day running of the office
· Coordinate and manage relationships with external suppliers and service providers (including facilities, IT support, cleaning,
and catering services)
· Oversee office maintenance, equipment, and supply management
· Monitor and control office-related expenses and budgets Administrative Management.
· Organise, supervise, and improve administrative processes and workflows
· Ensure proper management of documentation, filing systems, and company records
· Support the implementation of internal procedures and best practices and Iso, B-Corp requirements · Ensure compliance with company policies and applicable local regulations · Support health and safety practices within the office Executive Support & Employee Support.
· Provide administrative support to senior management as required
· Coordinate calendars, meetings, travel arrangements, and internal events
· Act as a point of contact for internal and external stakeholders
· Support onboarding activities for new employees (workspace setup, access, coordination)
· Act as a reference point for all office-related needs
· Contribute to maintaining a positive, efficient, and professional work environment Accounting & Invoice Process Support.
· Provide operational support for active and passive invoice management processes, in compliance with company procedures and in coordination with the Finance team Communication & Marketing Coordination.
· Ensure the local implementation of Marketing and Communication processes, including events, client experience (CX), case studies, and maintain media relations in country
· Coordinate activities with the Group Comms Manager to ensure alignment with corporate guidelines and brand positioning
· Supporting the organisation of the close out of the project (documentation, photos/videos, CX request…) Pre-Construction & Commercial Support
· Provide administrative support during tender and pre-construction phases (including NDA, PQQ, Tender documentation, GMP), in coordination with the pre-construction team and Bid Leaders
· Support the preparation of commercial proposals
· Participate in tender kick-off meetings to support the development of commercial offers Additional Skills.

· Autonomy in managing day-to-day office operations
· Involvement in the coordination of vendors, suppliers, and internal processes
· Contribution to organisational efficiency and workplace quality
· Autonomy in driving cross-functional coordination and collaboration across departments, including Finance, Communications, and Pre-construction
· Ownership of administrative and operational initiatives that support business continuity and enhance employee experience Qualifications.
· Diploma or equivalent qualification.
· Previous experience in an office management, executive support, or similar administrative role.
· Experience within the construction sector, ideally with a recognised general contractor, would be considered a strong advantage.
· Highly operational, responsive, and adaptable approach, with the ability to manage multiple priorities in a dynamic environment.
· Strong organisational and problem-solving skills, with excellent attention to detail.
· Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
· Demonstrated resilience, motivation, determination, and a proactive attitude.
· Ability to work independently while maintaining a collaborative and team-oriented mindset.
· Strong alignment with Agilité's values, culture, and delivery standards.
· Proficiency in Microsoft Office applications and general office management tools.
· Fluency in Italian and English.

· Salary range: €26,000 - 32,000

Please note that this role is primarily office-based to ensure effective coordination of office operations, support to local Team, and day-to-day interaction with employees, vendors and stakeholders. Therefore, regular remote working is not envisaged for this position.
