ph3Position Purpose /h3 pSupports the principal and ensures that all aspects of the office operations meet the needs of the administration, staff and students, where applicable. Performs various routine-to-moderately complex bookkeeping and clerical work to ensure efficient and effective school fiscal operations. Provides assistance to supervisor, co-workers, students and the general public as required. /p h3Responsibilities /h3 ul liEnsure professionalism and confidentiality in all aspects of staff, parent, student and community relations. /li liEnsure that the office runs smoothly and that essential functions are clearly assigned to staff as approved by the principal or department head. /li liEnsure that school and district policies are being followed by all office staff. /li liManage all aspects of projects, as assigned. /li liOpen the building and office daily. /li liSubstitutes – ensure that all paperwork is accurately completed and submitted on time to the payroll department for all absent employees and their substitutes. /li liKeep attendance records for staff. /li liSupplies – ensure updated inventories of office supplies and replacements as needed. /li liMaintenance – ensure that all office equipment and building maintenance needs are met. /li liSupport the principal/department head’s work with personnel records. /li liSupport the principal/department head’s communications efforts with both internal and external audiences. /li liManage the updating and distribution of employee and discipline handbooks at least annually. /li liMaintain office files and records. /li liMake travel arrangements for staff. /li liObtain price quotes and verify available funds for equipment, supplies and materials; prepare electronic purchase orders; process invoices for payment. /li liCommunicate with vendors as needed to obtain pricing and availability information, expedite orders and resolve billing discrepancies. /li liManage the use of procurement cards and electronically reconcile transactions in the card management program. /li liCollect receipts,
records and deposit various school revenues; prepare billing invoices as required; maintain individual accounts as assigned, including pupil activity accounts. /li liMaintain accurate and up-to-date ledgers and other financial records; prepare periodic financial reports as required by the school and district; balance imprest account bank statements. /li liMay perform routine bookkeeping and reporting duties for assigned grants. /li liRecord the receipt of equipment and supplies electronically. /li liPrepare records for internal and external audits. /li liOrder, dispense and take inventory of school supplies. /li liAssist supervisor and other department staff by performing a variety of clerical duties, including typing routine reports and correspondence, copying and filing documents, collating materials, sending and receiving faxes, maintaining logs and lists, processing daily mail, distributing staff paychecks and direct deposit notifications, etc. /li liInteract and communicate with a variety of individuals and groups, including the immediate supervisor, other school administrators and staff, district staff, students, parents/guardians, sales representatives, various outside organizations and professionals, and the general public. /li liPerform computer data entry to record and retrieve information; generate spreadsheets and other computer reports as required. /li liAnswer telephone to provide information, take messages, or transfer calls. /li /ul h3Additional Duties /h3 pPerforms other related tasks as assigned by the Principal, Superintendent or other district office administrator as designated by the Superintendent. /p h3Qualifications /h3 ul liMinimum high school diploma plus five years demonstrated progressively responsible office experience.
/li liAssociate’s Degree is preferred. /li /ul h3Experience /h3 pProficient in Microsoft Office products including Word, Excel, Outlook, and PowerPoint. Ability to use the Internet for research applications. Minimum of 60 words per minute. Database management skills are desirable. Must possess working knowledge of common office equipment such as fax, copier, calculator, etc. /p h3Physical Demands /h3 ul liUse strength to lift items needed to perform the functions of the job. /li liSit, stand and walk for required periods of time. /li liSpeak and hear. /li liUse close vision, color vision, peripheral vision and depth perception along with the ability to focus vision. /li liCommunicate effectively in English, using proper grammar and vocabulary.
