**VACANCY: Operations Coordinator** Keep our programmes running seamlessly. **Location**:Padova, Italy - _on-site role with frequent Italy/EU travel (no remote or hybrid option)._
**Contract type**:Full-time, 38h/week **Who we are** At Teachersrise, we organise Erasmus+ teacher training courses and international education projects for schools across Europe. Our programmes are typically one-week courses combining training activities and accommodation. We are a small but ambitious team entering a **scaling phase**, with a clear division between Sales and Operations to increase efficiency and margins. **The role** The Operations Coordinator will be the **backbone of our programme delivery**, ensuring every course runs smoothly and efficiently, in close alignment with the Sales team and our quality standards. You’ll take full ownership of the logistics and resource coordination for confirmed courses — from scheduling venues and trainers to overseeing accommodation and activities — making sure every operational detail supports an excellent experience for participants and trainers alike. This role is perfect for someone who thrives on detailed planning and organisation, enjoys digital tools, management control and transparent systems, and loves building strong, positive relationships with diverse stakeholders. **Key Responsibilities**
- Organise all logistics for confirmed course programmes: booking trainers, training venues, accommodation, and socio-cultural activities.
- Manage relationships and performance of service providers (accommodation, venues, trainers, activities).
- Tutor assigned programmes directly or delegate during peak periods.
- Ensure all arrangements meet budget, quality, and contractual standards.
- Some logistics and tutoring activities may require travel to programme locations.




- Use the internal ticketing system to respond promptly to Sales requests on resource availability (venues, trainers, accommodation) before deals are closed.
- Maintain and update operational schedules, course calendars, and resource allocation plans.
- Coordinate with tutors and trainers to ensure smooth delivery of programmes.
- Support the company’s educational direction function with trainer scouting, partnerships with institutions, and input into course and location design.
- Set and manage budgets for assigned programmes, overseeing related expenses and documentation. When no dedicated admin support is in place, handle bookkeeping tasks, liaising with our accountant and other stakeholders as needed.
- Handle day-to-day office operations to ensure smooth functioning of the team and workplace.
- Monitor participant and provider feedback; propose and implement improvements.
- Maintain accurate records in the CRM and other systems for operational reporting.
- Collaborate closely with Sales to match commercial commitments with operational capacity.
- Keep management informed of operational risks, bottlenecks, and opportunities.
- Participate in quarterly planning and monthly review meetings to align with OKRs. **Requirements**: - Fluent in English and Italian (C1 or above).
- Strong organisational and time management skills, with attention to detail.




- Strong communication skills for coordinating with internal and external stakeholders.
- Experience in operations, event management, logistics, or programme coordination.
- Proficiency with digital tools (CRM, spreadsheets, scheduling software, custom tools).
- Problem-solving mindset with enthusiasm for structured systems and transparent processes.
- Ability to work under pressure and handle last-minute changes with composure.

As a very small team, some of us are frequently travelling or supervising training programmes.
