Practice Group / Department: Antitrust, Competition & Regulatory – MilanAntitrust Legal Secretary Provide proactive secretarial and administrative support to partners, fee earners, and the wider Antitrust team.Responsibilities
- Manage complex diaries, meetings, inbox monitoring (including PEC accounts), travel arrangements, and related logistics.
- Prepare, format, proofread, and finalize legal documents, correspondence, presentations, and reports to a high standard of accuracy and professionalism.
- Manage electronic court filings through Consolle Avvocato (Processo Civile Telematico), monitor deadlines and court communications, and maintain accurate electronic and hard‑copy records.
- Coordinate document management activities, ensuring filing systems and records are maintained in accordance with firm policies and client requirements.
- Support matter management processes, including client onboarding, matter opening procedures, anti‑money laundering documentation, billing administration, and expense processing.
- Assist with the preparation of pitches, presentations, client communications, and other business development materials.
- Coordinate internal and external meetings, training sessions, seminars, conferences, and client events, including scheduling, logistics, preparation of materials, and liaison with relevant stakeholders.
- Build effective working relationships with lawyers, business services teams, clients,
and external providers to ensure the smooth running of day‑to‑day activities.
- Provide support and cover for other members of the secretarial team as required.
Qualifications
- Previous experience in a professional services environment, preferably within an international law firm.
- Excellent organizational, prioritization, and time‑management skills with the ability to manage multiple deadlines.
- Strong attention to detail and a commitment to delivering high‑quality work.
- Advanced proficiency in Microsoft Office applications, especially Word, PowerPoint, Outlook, and Excel.
- Proactive, adaptable, and solutions‑oriented approach.
- Strong interpersonal and communication skills, with the ability to build effective relationships at all levels.
- Professional, discreet, and able to exercise sound judgment when handling confidential information.
- Fluent in Italian and a good working knowledge of English, both written and spoken.
- Flexibility to accommodate changing priorities and business needs.
