**JOB POSTING** Position: Trip Manager, Italy (Seasonal) Reporting to: Manager, European Trip Operations Location: Arezzo, Italy Term: April to December 2026 **OVERVIEW** Key Responsibilities As a Trip Manager, you will support assigned Regional Teams in delivering seamless, high-quality travel experiences. Your responsibilities will include: - Coordinating all aspects of trip planning and on-trip logistics in collaboration with Regional Directors and Guides
- Ensuring all trip materials provided to Guides and suppliers are accurate, complete, and up to date
- Partnering with Regional Teams to manage hotel inventory, including room requests, releases, upgrades, and cancellations for scheduled trips
- Reviewing trip logistics and costings to ensure both operational efficiency and financial accuracy (e.g., transfers, guide-to-vehicle ratios, and guide travel arrangements)
- Monitoring bookings and payments to ensure alignment with approved budgets
- Managing supplier payments, as well as Guide and Route Worker expenses, and reconciling any variances against trip budgets
- Preparing and delivering a financial summary upon trip completion
- Acting as the primary point of contact for Guides during trips, providing leadership, support, and issue resolution as needed
- Ensuring all trips adhere to company risk management protocols,
including securing appropriate vendor contracts and insurance documentation
- Overseeing the completion and accuracy of all post-trip reporting **Skills & Qualifications**
- Highly organized with a proactive mindset and exceptional attention to detail
- Strong written and verbal communication skills in both English and Italian
- Flexible and adaptable, with the ability to thrive in a fast-paced, dynamic environment
- Strong administrative and technical skills, including advanced proficiency in Microsoft Excel and the broader MS Office suite
- Demonstrated experience in project and financial management, including budgeting and cost tracking
- Excellent interpersonal skills, with the ability to collaborate effectively across diverse, cross-cultural, and geographically dispersed teams
- Proven leadership ability, including training, supporting, and motivating others
- A professional, solutions-oriented approach to problem-solving and teamwork
- Knowledge of the regions in which we operate, and an understanding of the luxury active travel market, are considered assets **Scheduling Note** **Job Type**: Contract
Contract length: 10 months Pay: €2,400.00 - €2,800.00 per month Work Location: In person
