Organizational Setting

The Logistics Services Division (CSL) is responsible for ensuring effective and efficient administration and enabling functions to support the Organization's programmes in achieving the Strategic Objectives while meeting the requirements of Members, UN partners and resource partners.

Reporting Lines

The Travel Officer (Reporting and Monitoring) reports to the Travel and Transportation Officer, Head of the Unit.

Technical Focus

The Travel Officer supports the administration and coordination of travel activities specifically focused on travel programme reporting and data management, testing and development of the Organization's travel system, and supporting the provision of all official travel in accordance with the approved policies and guidelines.

Key Functions

- Supports compliance with the approved travel policy, rules and regulations and/or guidelines, monitors requests for exceptions, and identifies gaps or problem areas for review; revision of policies or guidelines.
- Provides guidance and support to the travel user community on travel policy and systems related matters, personally advising senior staff and official travellers on travel issues, including resolving complex problems and emergencies.
- Contributes to the oversight and reporting on FAO’s global travel programme.
- Generates travel data reports from various sources,



verifies data accuracy and consistency for provision of data to internal and external stakeholders (including auditors).
- Identifies requirements for improvements to FAOs travel data and reporting requirements, designs, tests and implements solutions for effective reporting and monitoring of FAOs travel programme.
- Drafts a variety of reports, correspondence and documents on FAOs travel programme activities.
- Oversees the maintenance of accurate travel databases, records and process documentation.
- Identifies and investigates technical issues in the travel administrative systems, drafts requirements to resolve issues and implement technical and functional system changes aimed at improving performance, functionality, and quality of data.
- Co‑ordinates and conducts travel system quality assurance and testing and liaises with IT for implementation of identified system enchantments and solutions.
- Participates in building capacity and skills within the global user community in travel administration, including the development, coordination and delivery of travel programme and system related training, identification of knowledge gaps and development of training materials.
- Proposes changes to practices intended to increase efficiency and minimize risk, including proposing changes in policies and guidelines, and recommends new ideas to enhance the effectiveness of FAO's travel services.
- Verifies and supervises the processing of invoices for payment from travel agents and other travel service suppliers, against the terms of contract and actual services rendered.
- Performs other duties as required.

Specific Functions

- Extracts and produces travel management information reports and programme analysis for reporting and monitoring of FAOs travel related programmes and travel service providers.
- Develops and enhances data visualization, reporting and monitoring capabilities.
- Supports development of new travel practices and systems.
- Provides guidance and support on the resolution of complex system issues.
- Advises staff on travel policies, entitlements, and procedures.
- Ensures adherence to UN travel policies and procedures.

Candidates will be assessed against the following

Minimum Requirements

- Advanced university degree (Master's degree or equivalent) in business administration,



public administration, data analytics and management, economics, law or other relevant field or a first‑level university degree in combination with two additional years of relevant experience may be accepted in lieu of the advanced university degree.
- Three years of relevant experience in travel systems or programme management, including data reporting and analysis, administration of travel management systems and compliance with UN or international travel policies and procedures.
- Working knowledge (proficiency levelC) of English and intermediate knowledge (proficiency levelB) of another FAO official language (Arabic, Chinese, French, Russian or Spanish).

Technical/Functional Skills

- Work experience in more than one location or area of work, particularly in field positions.
- Extent and relevance of experience in administering corporate or organizational travel processes, Enterprise Resource Planning (ERP) or operational systems.
- Extent and relevance of experience and knowledge in data management, including data generation and analysis.
- Extent of knowledge of United Nations Travel rules and regulations is considered an asset.
- Working knowledge (proficiency levelC) of another FAO official language is considered an asset.
- Specialized training and/or certification in travel management is desirable.

General Information

Extension of fixed term appointments is based on certification of performance and availability of funds.
