Luigi Fragola Architects is a luxury interior design and architecture studio based in Florence, delivering projects worldwide across hospitality, high-end residential, and private developments. The studio specializes in timeless, bespoke interiors for hotels, resorts, and luxury residences, uniting architectural vision with refined material research and an understanding of contemporary luxury living. Working with international hotel brands, real estate developers, and private clients, the team creates distinctive spaces that enhance identity, guest experience, and long-term value. From concept to completion, the multidisciplinary studio provides fully integrated design solutions across interior architecture, FF&E;, and creative direction for projects in Florence and around the globe.
Role Description
As the studio has grown - in team size and in the scale of its international projects - internal processes have not kept pace. There is currently no one dedicated to internal organization on an ongoing basis: we're looking for the first person to take this on.
The Operations & Project Manager will be a full-time, hybrid role based in Florence, with flexibility to work from home part of the week. This is not primarily a project-coordination role - it's a role to design and build the operational system that makes excellent project delivery possible, and to run it day to day.
First, and foundationally: internal organization
- Design and implement the studio's internal structure - roles, workflows, procedures, and shared standards
- Implement and manage a single operating platform (currently Notion) that becomes the studio's daily system for knowledge, planning, and reporting
- Coordinate and onboard external collaborators (freelancers, consultants, partners), ensuring alignment with internal team standards
- Monitor and continuously improve process efficiency, so the studio runs on solid, predictable systems — not just on individual effort
Then, as a natural consequence: projects and clients
- Plan and monitor project timelines using the system you've built
- Coordinate professionals, consultants, and partners on projects, including internationally
- Ensure deadlines and priorities are met
- Manage technical and administrative project documentation
- Work daily alongside studio leadership and the design team
Qualifications
- Minimum 5 years of experience designing and implementing internal organization and business processes — not just managing systems someone else built
- At least one comparable experience in an organization of similar size and culture (small studio, startup, or creative firm)
- Demonstrated experience in operations management, including process optimization and resource planning
- Proven program and project management skills, with the ability to manage multiple concurrent initiatives
- Strong analytical skills to assess process and project performance and support decision-making
- Hands‑on familiarity with tools such as Notion, , Asana, or ClickUp — no development skills required, but the ability to design an effective workflow and drive team adoption

- Comfortable working across multiple fronts in a dynamic environment
- Fluency in English, written and spoken, is essential — you'll work daily with international clients and professionals
- Background in architecture, interior design, real estate development, or a related field is a plus
