JOB TITLE: Senior Support Specialist (LESS Support)

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

In order to achieve integrated supply chain management, WFP has developed the Logistics Execution

Support

System (LESS) that integrates the supply chain, the inventory accounting and real-time tracking systems.

The Senior Support Specialists deliver business and technical support to CO/RB/HQ staff concerning

LESS processes.

ACCOUNTABILITIES/RESPONSIBILITIES

Under the overall supervision of Head of Dbase (SCOLO) and under the direct supervision of the

Support Coordinator, the Senior Support Specialist will ensure timely and efficient support is provided,

master data created and maintained according to the operational set up and support repository and tools, e.g. GSM are always kept updated. The Support Specialist will provide regularly snapshots of performance internally of the Less Support team and external, i.e.



Country Office Real time entries.

Detailed KEY ACCOUNTABILITIES

- Receive and analyse support requests from CO/RB/HQ;
- Monitor status of support requests and ensure proper and timely follow up;
- Deliver business and technical support to CO/RB/HQ staff post implementation of LESS;
- Provide support to requestors in the form of “how to” feedback, user guides, procedures and protocols;
- Take actions to address specific support requests related to master data management and data analysis;
- Propose improvements to WFP Supply Chain Master Data management processes;
- Liaise with the dedicated IT Business Analyst to correct system errors (fixes) and perform tests prior to releasing the changes to SAP production environment;
- Ensure support tools are correctly and promptly updated to reflect actual status of support;
- Contribute to support’s knowledge management process and repository;
- Contribute to project team capacity building by ensuring knowledge transfer/training;
- Perform periodical status reports to monitor LESS usage and data quality;
- Perform periodical status reports to monitor Country Offices’ performance;
- Contribute to the monitoring and evaluation of the effectiveness of the support strategy by suggesting and implementing agreed upon Key Performance Indicators (KPI);
- Contribute to the development, design and implementation of Support tools, standards and templates in line with the agreed support strategy;

TERMS OF REFERENCE FOR SHORT-TERM/CONSULTANCY CONTRACTS

- Suggest improvements and refinements to processes and procedures to Support Management

Team;

- Support data entry function for processes not de-centralized, i.e. Overland Insurance, Food airlifts, etc.
- Extract, consolidate and prepare Insurance reports for OSCR and RMFG;
- Any other task as required.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education

- Advanced University degree in Business Administration, Sales, Retail, Supply Chain,

Management, Marketing or other related fields, or First University degree with an additional relevant work experience and/or training/courses.

Experience

- At least 2 years’ experience in Supply chain support.
- Expertise of SAP system
- Ability to train and mentor junior international and national staff.
- Excellent influencing and communication skills, both written and verbal
- Good training skills, hardworking, calm, mature, logical, culturally sensitive, result oriented and interest in humanitarian development

Knowledge & Skills:

- Excellent knowledge of SAP modules: SD/MM/WH
- Excellent trouble shooting capacity.
- Capacity to transfer knowledge to colleagues.
- Analytical skills.




- Excellent communication and writing skills
- Understanding of WFP Supply Chain model and business processes.
- Knowledge of SAP and the LESS/WINGS system solution.
