Travel Concierge / Travel Administrator

Join the Secret Italia Tours Team An exciting opportunity has arisen to join the office team at Secret Travels, a boutique tour operator specializing in authentic small-group and private journeys throughout Italy and the Mediterranean.

We are looking for a motivated, detail-oriented Travel Concierge / Travel Administrator who is passionate about travel and committed to delivering exceptional service to our guests. This is an excellent opportunity to become part of a growing company where your contribution will make a real difference.

Key Responsibilities

- Coordinate bookings and maintain accurate tour records.
- Liaise daily with hotels, guides, transport providers, and other suppliers.
- Prepare travel documents and guest information packs.
- Monitor the quality of our tours and supplier performance.
- Ensure our overseas tour managers and local partners receive the support they need.
- Respond promptly and professionally to operational issues and emergencies.
- Assist with inventory management and office administration.
- Contribute ideas and initiatives to support the continued growth of the company.

What We're Looking For

- Previous experience with a tour operator, travel agency, or within the travel industry.
- Previous office administration experience.
- Excellent spoken and written English.
- A genuine passion for travel and outstanding customer service.
- Strong organizational skills with exceptional attention to detail.




- Ability to work independently while also enjoying being part of a small, close-knit team.
- Excellent computer skills and confidence using office software. Practical computer skills will form part of the interview process.
- A proactive, mature, and reliable individual who remains calm under pressure.

Secret Travels is a small, friendly, family-run boutique tour company specialising in small-group tours, private journeys and tailor-made itineraries throughout Italy and selected European destinations.

We take our guests to places that we genuinely enjoy visiting ourselves and that we have personally explored and carefully selected. We believe that personal contact, local knowledge and first impressions are essential to creating a truly memorable travel experience.

Our team brings together a wealth of experience across many areas of the travel industry, including tour operations, travel consultancy,



guiding and escorted coach tours.

Every Secret Travels itinerary is designed directly by us. Our tours are carefully planned at a leisurely pace, allowing guests to experience each destination without feeling rushed. We are always available to offer honest, personal guidance and help travellers choose the experience that is right for them.

Our small-group tours are limited to a maximum of approximately 12 to 15 participants. This creates a friendly and relaxed atmosphere while providing greater flexibility and a more personal level of service.

We want our guests to experience each destination as a local would: staying in charming, locally owned accommodation, meeting local people, discovering authentic traditions and enjoying memorable culinary experiences.

We believe that genuinely small groups, premium quality and excellent value are the perfect combination.

Our itineraries also include free time for guests to explore independently, wander through hidden streets and discover the small details that make every destination unique. Whenever possible, we travel along scenic back roads rather than busy motorways, making the journey itself part of the experience.
