The Facilities Management
Unit in Rome supports WFP colleagues at Headquarter and globally in the management of headquarters building facilities. This position is available for a period of four months, starting in September 2025. Provide guidance, oversight and support for the management of headquarters building facilities.
Prepare stacking plans to redistribute office spaces according to new workspace scenarios, fostering workplace flexibility. Contribute to managing and limiting the organization’s real‑estate footprint, avoiding unnecessary increases in leasing costs and environmental impact. Offer space management and planning services in consultation with requesting divisions/units, coordinating and facilitating all office relocations within the HQ premises.
Provide project management services for renovation and construction projects, including preparation of budgets and technical specifications. Develop architectural layouts, technical scope of work, cost estimates and schedules. Supervise and monitor quality and schedules for construction work, ensuring contractors comply with specifications, budget and timelines.
Prepare periodic reports and review contractors’ invoices, assisting with cost recovery as required. Process invoices by checking for correctness and verifying charges against agreed payment terms in the contract.
Ensure fire and industrial safety standards are followed and WFP policies, criteria and procedures are complied with.
Update floor plans and Archibus data for overall unit reporting. Assist in drafting RFQ and RFP for goods and services related to space planning. Assist supervisor with any tasks assigned that support the Facilities Management unit’s ongoing work.
Qualifications & Experience Advanced degree in Architecture, Civil Engineering or related discipline.
Experience: 3 years of general facilities management experience (space planning, office renovation) at the national and/or international level, with at least 1 year specialised in space planning/management.
Software: Advanced knowledge of AutoCAD, Adobe Acrobat Pro, MS Word, Excel, PowerPoint, Project; Reporting: Ability to draft clear concise reports or rationales for key decisions.
Problem Solving & Negotiation: Proactive problem solving and good negotiating skills.
Interpersonal Skills: Ability to work in a team and establish effective working relations with people of different backgrounds.
Contract Monitoring: Ability to establish priorities and monitor contractors; Languages: Spoken and written English essential; second UN language (Arabic, French, or Spanish) an asset.
