We are seeking a detail-oriented Facilities Management Assistant to support laundry operations and GXP (Good X Practice) services within our pharmaceutical manufacturing environment. This role ensures compliant, efficient, and reliable facility support that upholds cGMP standards, data integrity, and high-quality service for all laundry-related activities and facility services.
Key ResponsibilitiesLaundry Operations Management Coordinate and oversee on-site laundry services for cleanroom garments, lab coats, scrubs, PPE, and related têxtiles. Maintain inventory levels of clean and spare garments, PPE, and consumables while monitoring supplier performance and lead times.
GXP Services Support Assist in activities related to GXP compliance for facility operations, including QA support for audits, inspections, and regulatory readiness. Support management of Change Controls, Deviation Investigations, CAPA, and associated records to ensure traceability and data integrity. Maintain and update Standard Operating Procedures (SOPs), work instructions, and related documentation while ensuring team adherence. Assist in implementing corrective and preventive actions to address quality and compliance findings.
Facilities & Operations Support Assist with general facilities management tasks to ensure a safe, compliant, and efficient facility environment including maintenance coordination, space planning, housekeeping, waste management, and safety initiatives. Coordinate with cross-functional teams (Production, QA, Safety, IT, Sustainability) to support operational projects and improvements. Ensure compliance with local, national, and industry regulations, including environmental, health, and safety standards. Maintain asset management records, CMMS inputs,
and preventive maintenance schedules for soft services facilities management assets.
Vendor & Stakeholder Management Liaise with external vendors and service providers to ensure service levels, performance, and compliance standards are met. Support vendor selection, onboarding, and periodic performance reviews. Communicate effectively with internal customers including production teams, QA, and facilities to align on expectations and timelines.
Documentation, Auditing & Training Assist with internal and external audits by supporting preparation of audit-ready documentation. Maintain training records for team members on laundry procedures, GMP/GXP requirements, safety protocols, and equipment operation. Contribute to incident investigations and root-cause analysis related to laundry and facility operations.
Qualifications & ExperienceBachelor's degree in Facilities Management, Engineering, Life Sciences, or related field, or equivalent practical experience in a GMP environment. Minimum 2-4 years of experience in facilities management, preferably within pharmaceutical, biotech, or healthcare settings. Basic understanding of GXP/GMP regulations and quality systems; experience with validation (IQ/OQ/PQ) and CAPA is advantageous. Experience or strong interest in laundry operations, cleanroom attire handling, and related equipment management is beneficial.
Proficiency in Microsoft Office Suite and familiarity with CMMS or QMS systems is preferred.
Skills & CompetenciesStrong organizational, time-management, and problem-solving abilities with excellent written and verbal communication skills. Detail-oriented approach with commitment to accuracy and data integrity. Ability to manage multiple tasks concurrently in a fast-paced environment while remaining proactive and self-motivated. Capability to work with mínimal supervision while following defined procedures. Knowledge of safety, environmental, and waste-handling regulations relevant to laundry and facilities operations.
Work Environment & Location RequirementsThis position requires regular on-site work within a GMP/regulated facility environment. The role involves activities that may include lifting, standing, and routine exposure to cleaning chemicals. Willingness to participate in on-call rotations or shift adjustments may be needed to support production schedules.
