Logistic Coordinator – Logistics, Procurement & Accommodation

Ravenna – availability for national and international travel.

Role Description

The selected candidate will be responsible for the operational coordination of logistics, procurement, and accommodation activities, supporting company needs related to personnel mobilization, supplier management, procurement processes, and material handling both in Italy and abroad.

The role requires ensuring efficient organization of logistics operations while guaranteeing compliance with operational timelines, company procedures, and applicable customs and documentation regulations.

Main Responsibilities

Logistics & Transportation

- Coordination of company personnel transportation.
- Organization of airport transfers, shuttle buses, and personnel mobilization.
- Planning and monitoring of domestic and international shipments.
- Management of land, sea, and air freight shipments.
- Coordination of import/export activities.
- Management of customs procedures and customs clearance.
- Liaison with freight forwarders, couriers, and customs agents.
- Monitoring logistics costs and optimizing services.
- Coordination of vehicle rentals.
- Management of fuel cards, toll devices, fines, and vehicle documentation.
- Support for logistics audits and document compliance activities.
- Management of PPE and monitoring certification expiry dates.

Accommodation & Camp Management

- Research and scouting of hotels, apartments, and accommodation facilities for personnel.
- Management of accommodation for remote camps/sites.
- Coordination of accommodation assignments.
- Management of relationships with hotels, residences, and property owners.
- Supervision of accommodation facilities and service conditions.
- Operational support in managing accommodation camps and related facilities.

Procurement & Vendor Management





- Supplier sourcing and selection.
- Requesting and comparing commercial quotations.
- Issuing purchase requests and coordinating orders.
- Drafting and managing contracts with suppliers and service providers.
- Purchasing materials, equipment, and PPE.
- Managing product returns and supplier disputes.
- Monitoring deliveries and supplier performance.
- Supporting commercial negotiations.

Warehouse, Assets & Documentation

- Coordination of equipment and company asset inventory.
- Updating inventory records and company databases.
- Management of delivery notes and transport documentation.
- Monitoring incoming and outgoing materials.
- Supporting warehouse management and equipment traceability.
- Document control related to shipments and purchases.

Requirements

- Previous experience in similar logistics and procurement roles.
- Experience in accommodation management and personnel mobilization.
- Knowledge of import/export and customs clearance procedures.
- Experience in supplier management and contract administration.
- Good knowledge of logistics and administrative documentation.
- Excellent organizational and problem-solving skills.
- Ability to work in dynamic and international environments.
- Good written and spoken English.
- Excellent knowledge of Microsoft Office, particularly Excel.

Preferred Qualifications

- Experience in Oil & Gas, EPC, Construction, or international project/site environments.
- Experience managing remote camps/workforce accommodation.
- Knowledge of ERP systems and logistics management software.
- Experience in fleet management.
- Knowledge of HSE regulations related to logistics and material handling.
