Role Summary
We're looking for a highly organized, detail-driven Executive Assistant to support a fast-paced immigration law practice. This role manages email correspondence, lead tracking, ClickUp workflows, a weekly case review meeting, and client communication via text. You'll be working closely with clients navigating some of the most stressful moments of their lives — family members detained, active immigration enforcement concerns, and complex, fast-moving casework. This role requires equal parts operational precision and genuine empathy.

Key Responsibilities
Manage and triage email inbox — using excellent judgment to determine what needs immediate escalation versus what can be handled independently
Track and manage incoming leads




Maintain and update case/project tracking in ClickUp
Attend and help run the weekly case review meeting
Monitor and respond to client communications via text messaging app
Track fast-moving case deadlines, court filing dates, and other sensitive turnaround times with zero margin for error
Communicate with clients — many of whom have little to no formal education and are under significant emotional distress — with patience, clarity, and warmth
Support communication across a wide range of contacts, from judges and attorneys to clients in crisis
Build and maintain organized, color-coded systems (spreadsheets, documents, trackers) that make information easy to scan and act on quickly
