The Planning Specialist will be based in Milan, Italy, and will be part of the Administration & Support Services Department, reporting to the Executive Planning Manager to the President.
This role will provide high-level administrative, organizational and logistical support to the President, ensuring the efficient management of daily activities, executive priorities and stakeholder interactions.
Key Responsibilities The key responsibilities of the role include:
Administrative Assistance
- Manage the President's calendar, meeting schedule and recurring events, ensuring effective prioritization of activities.
- Coordinate travel arrangements, including transportation, accommodation, itineraries and visa requirements.
- Process expense reports and administrative documentation accurately and in a timely manner.
- Support the preparation of presentations, meeting materials and executive correspondence as required.
Meeting & Event Logistics
- Support logistics for executive meetings, workshops, leadership forums and corporate events.
- Support meeting scheduling, venue arrangements, attendee coordination and supporting documentation.
- Support hospitality arrangements, including catering, accommodation and transportation requirements.
Relationship & Hospitality Management
- Coordinate gifting initiatives and hospitality activities for key stakeholders, business partners and visitors.
- Manage seasonal greetings, holiday cards, Christmas gifts and recognition initiatives on behalf of the President.
- Support executive hosting activities.
Office & Team Support
- Provide administrative and logistical support to executive leadership located in the Milan office, as required.
Background
- Bachelor's degree in Business Administration, Hospitality, Communications or a related field.
- Previous experience in office management, administration or similar roles.
- Proven experience coordinating complex schedules, events and travel arrangements.

- Italian is your mother tongue, Fluent in English, additional European languages are a plus.
- Experience supporting senior executive leadership.
- Experience working in multinational and multicultural environments.
