/p pThe Planning Specialist will be based in Milan, Italy, and will be part of the Administration Support Services Department, reporting to the Executive Planning Manager to the President.
/p pThis role will provide high-level administrative, organizational and logistical support to the President, ensuring the efficient management of daily activities, executive priorities and stakeholder interactions.
/p h3Key Responsibilities /h3 pThe key responsibilities of the role include: /p h3Administrative Assistance /h3 ul liManage the President's calendar, meeting schedule and recurring events, ensuring effective prioritization of activities.
/li liCoordinate travel arrangements, including transportation, accommodation, itineraries and visa requirements.
/li liProcess expense reports and administrative documentation accurately and in a timely manner.
/li liSupport the preparation of presentations, meeting materials and executive correspondence as required.
/li /ul h3Meeting Event Logistics /h3 ul liSupport logistics for executive meetings, workshops, leadership forums and corporate events.
/li liSupport meeting scheduling, venue arrangements, attendee coordination and supporting documentation.
/li liSupport hospitality arrangements, including catering, accommodation and transportation requirements.
/li /ul h3Relationship Hospitality Management /h3 ul liCoordinate gifting initiatives and hospitality activities for key stakeholders, business partners and visitors.
/li liManage seasonal greetings, holiday cards, Christmas gifts and recognition initiatives on behalf of the President.
/li liSupport executive hosting activities.
/li /ul h3Office Team Support /h3 ul liProvide administrative and logistical support to executive leadership located in the Milan office, as required.




/li /ul h3Background /h3 ul liBachelor's degree in Business Administration, Hospitality, Communications or a related field.
/li liPrevious experience in office management, administration or similar roles.
/li liProven experience coordinating complex schedules, events and travel arrangements.
/li /ul h3Required Skills /h3 ul liContinuous High degree of confidentiality required.
/li liStrong organizational and time-management skills.
/li liExcellent attention to detail.
/li liStrong written and verbal communication skills.
/li liStrong stakeholder management and interpersonal skills.
/li liProactive, service-oriented and solution-focused mindset.
/li liAbility to work independently while maintaining close collaboration with executive teams.
/li liAdvanced proficiency in Microsoft Office applications (Outlook, PowerPoint, Word).
/li liItalian is your mother tongue, Fluent in English, additional European languages are a plus.
/li liExperience supporting senior executive leadership.
/li liExperience working in multinational and multicultural environments.
/li /ul pThe salary range starts at ******€ gross per year, with the final offer depending on the candidate's experience and overall profile.
