Specific responsibilities include: calendar management, travel coordination, expense processing, office management and meeting coordination. This role also collaborates with other administrative assistants and members of the Executive Committee. /ppbKey Accountabilities /b /ppbCalendar Management: /b /pulliProactively manage daily calendars and resolve scheduling conflicts /liliPrepare and maintain master calendar which includes departmental vacation schedules and travel schedules /li /ulpbTravel Coordination: /b /pulliBook and prepare comprehensive travel arrangements as needed (flights, hotels, car rentals, reservations) /liliPrepare accurate expense reports through Concur /li /ulpbCommunication: /b /pulliCommunicate and liaise with the team to properly inform calendar and project management /liliCreate and compile detailed PowerPoint presentations for Senior management and general meetings /li /ulpbGeneral Administration: /b /pulliAssist in the logistical preparation for meetings including reserving conference rooms, ordering meals, liaising with IT, etc. /liliAssist in the organization of files /liliProcess invoices through accounts payable / expense /liliSupport ad hoc project requests /liliDistribute mail and coordinate shipping with the mailroom /li /ulpbQualifications /b /pulli5+ years of previous administrative assistant with at least 2 years’ experience supporting a President/CEO /liliAdvanced Microsoft Office skills with an emphasis on Word,
Excel and PowerPoint /liliMust be discrete due to exposure of highly confidential client information /liliAbility to multitask and prioritize workload /liliMust have excellent organizational skills /liliAbility to work independently /liliFormer retail environment experience is preferred /liliFluent in Italian and English, a third language is considered a valuable plusbr/ /li /ulpFor new joiners for this role in Italy, the annual gross salary associated with this position starts from 38.000€. This is only the initial annual gross salary granted to this position. This figure has been determined based on objective and gender-neutral criteria and reflects the starting salary normally applicable to the position at the time of publication of this job posting. Actual salaries may vary based on factors such as your unique blend of experience and skills, start date and our current organizational needs.
