Overview

We are looking for an experienced and detail-oriented Payroll Specialist to join our People & Culture team on a 12-month-Fixed-Term Contract (FTC), based in Milan or Novara and reporting to the People Partner.

The role will be fully focused on Italian payroll, ensuring an accurate, timely and compliant payroll process and providing a high-quality service to employees and the business.

The successful candidate will bring strong knowledge of Italian payroll and employment legislation, excellent attention to detail and proven hands-on expertise in Zucchetti.

Your Mission

- Coordinate the monthly payroll process for Italy, ensuring accurate and timely delivery in partnership with the external payroll provider.

- Collect, validate and submit monthly payroll inputs and review payroll outputs, ensuring accuracy before final approval.

- Manage Zucchetti, with a particular focus on time and attendance, absences and payroll-related employee data.

- Act as the main point of contact for the external payroll provider, coordinating the payroll cycle and resolving any queries or discrepancies.

- Partner closely with the Finance team to coordinate salary payments, ensure accurate and timely payroll information, perform monthly payroll reconciliations and support year-end activities.

- Act as a trusted point of contact for employees and managers on all payroll-related matters, providing timely,



accurate and clear support and ensuring a consistently high level of customer service.

- Proactively manage and resolve employee payroll queries and issues, following through to resolution and ensuring a positive employee experience.

- Ensure payroll processes comply with Italian payroll and labour legislation, keeping up to date with relevant regulatory changes.

- Maintain accurate payroll documentation and reporting and contribute to continuous improvements in payroll processes and controls.

Your Talent

- Solid previous experience as a Payroll Specialist or in a similar payroll-focused role.

- Strong experience managing the Italy payroll cycle, including payroll inputs, controls, reconciliations and validation of payroll outputs.

- Proven experience working with and coordinating an external payroll provider.

- Strong understanding of payroll calculations, with the ability to independently review, validate and challenge payroll outputs produced by the provider.

- Excellent knowledge of Italian payroll and labour legislation, taxation and social security requirements.

- Strong hands-on knowledge and experience of Zucchetti is mandatory, particularly for time and attendance management.

- Knowledge of Workday HRIS is preferred.





- Previous experience with payroll reconciliations, reporting and year-end processes.

- Strong Excel skills and a high level of numerical accuracy and attention to detail.

- Fluent in Italian with good working proficiency in English.

- Strong customer service mindset, with the ability to handle employee payroll queries with professionalism, empathy and a solution-oriented approach.

- Strong communication and interpersonal skills, with the ability to build effective relationships with employees, managers and internal and external stakeholders.

- Ability to work independently, manage strict monthly payroll deadlines and follow issues through to resolution.

Salary Range: € 40.000 - € 45.000 Gross Annual Salary (RAL).
