Executive Business Partner (m/f/x)

We are looking for an experienced and proactive Executive Business Partner to provide high-level support to the General Manager and support the successful execution of business priorities across the Italian affiliate. This is a broad and highly visible role that goes beyond traditional executive assistance, combining executive support, stakeholder coordination, office operations, supplier management, employee services, and compliance-related activities.
The ideal candidate is a seasoned professional who can work independently, anticipate challenges, coordinate multiple stakeholders, and drive administrative excellence across the organization.
The Role
- Provide senior-level administrative and business support to the General Manager.
- Act as a trusted representative of the General Manager's Office when interacting with senior leaders, employees and external stakeholders.
- Manage calendars, meetings, travel arrangements, and executive priorities.
- Support preparation of executive presentations, leadership materials and business communications.
- Coordinate internal communications and corporate correspondence.
- Liaise with internal and external stakeholders to ensure seamless business operations.
- Coordinate employee onboarding and offboarding activities in partnership with managers and support functions.
- Support supplier management, purchase orders, and office-related services.
- Coordinate mandatory medical examinations and employee health initiatives with external providers.
- Support health, safety,
and compliance-related administrative processes and documentation.
- Assist with employee engagement activities, company events, and welfare initiatives.
- Identify opportunities to improve administrative processes and enhance the employee experience.
Your Skills and Experience: To be successful in this role, you will bring:
- Several years of experience in an Executive Assistant, Executive Business Partner, Business Support, or similar role.
- Demonstrated ability to work autonomously and proactively in a fast-paced environment.
- Strong stakeholder management and organizational skills.
- Excellent communication and relationship-building capabilities.
- Advanced Microsoft Office skills, particularly Excel, PowerPoint, and Outlook.
- Ability to manage multiple priorities while maintaining a high level of accuracy and professionalism.
- Experience within the pharmaceutical, healthcare, life sciences, or other regulated industries.
- Exposure to supplier management, office operations, onboarding/offboarding, or compliance-related activities.
- Experience with Concur and other business systems.
- Knowledge of SAP, Power BI, Qlik, or Tableau is an advantage.
What we offer We offer an open-ended contract (Tempo Indeterminato) regulated by the CCNL Chimico Farmaceutico, with a gross annual salary range of €45,000 - €55,000 , commensurate with experience and qualifications.
