We are looking for a full-timeEvent Coordinator Specialistto join our international team and support the planning, coordination, and execution of high-level events and innovation initiatives.
This is a hands-on role for someone who is highly organized, proactive, detail-oriented, and comfortable managing multiple activities and stakeholders simultaneously.
You will work closely with the team, partners, speakers, clients, and venues to ensure that every event is planned and executed smoothly, from the initial preparation to the on-the-ground experience.
Your role:
Event Planning & Coordination:Support the planning and execution of international events, conferences, workshops, and innovation initiatives, both online and in person.
Event Operations:Coordinate logistics, timelines, venues, suppliers, speakers, partners, materials, registrations, and other operational aspects required for successful events.
On-the-Ground Management:Support and coordinate event execution on site,
ensuring that activities, schedules, speakers, guests, and partners are properly managed throughout the event.
Stakeholder Coordination:Manage day-to-day communication with clients, brands, startups, speakers, partners, venues, and other stakeholders involved in events and initiatives.
Event Communication:Support invitations, follow-ups, attendee communication, speaker coordination, and other communications before, during, and after events.
Project Tracking:Maintain event timelines, task lists, deadlines, and follow-ups, ensuring that all activities are completed accurately and on time.
Event Materials & Deliverables:Assist with the preparation of presentation decks, event documents, proposals, reports, guest lists, and other materials using Google Suite.
Post-Event Activities:Support post-event reporting, feedback collection, relationship follow-ups, and documentation of key outcomes and learnings.
Innovation Initiatives:Contribute to the organization of workshops, networking activities, and other initiatives connecting Fashion, Luxury, Technology, and Innovation ecosystems.
Requirements:
Bachelor's or Master's degree completed, preferably inManagement, Communication, Event Management, Fashion/Luxury Management, or a related field.
Previous experience inevent organization, event coordination, project coordination, hospitality,
or a fast-paced environmentis preferred.
Experience managing multiple activities, deadlines, and stakeholders simultaneously.
Excellentorganizational and coordination skills, with strong attention to detail.
Excellent communication skills and a professional approach when interacting with different stakeholders.
Fluent inItalian and English(written and spoken).
Good knowledge ofGoogle Suite(Docs, Sheets, Slides).
Comfortable working both independently and as part of an international team.
Proactive, dynamic, and solution-oriented, with a strong willingness to get involved and take ownership.
Ability to remain calm and effective under pressure and adapt quickly to changing priorities.
Genuine interest inFashion, Luxury, Technology, Innovation, and international events.
Willingness and availability totravel for eventswhen required.
