Location: Rome, 80% Remote (20% weekly on-site coordination in Rome) Schedule: Full-time, 5 days/week, split shift 9:30-14:30, 17:00-20:00. Long-term agreement with career growth opportunities. Training: 1-month onboarding & operational training provided (on-site)

Position Overview
We are seeking a highly organized, motivated, and detail-oriented Operations & Bookings Supervisor to manage the day-to-day operations of our tours.This role is essential to ensuring smooth logistics, excellent communication with both clients and guides, and consistent delivery of high-quality experiences.
You will work closely with the CEO and guide team, coordinating schedules, monitoring bookings, handling customer needs, and maintaining operational efficiency.
Key ResponsibilitiesBooking Management
- Daily monitoring of bookings across all platforms (website, OTA partners, internal systems)
- Managing tour capacity, last-minute changes, cancellations, and updates
- Slot closure based on availability/attendance, and booking rescheduling
Guide Coordination
- Assigning guides to daily tours based on availability
- Monitoring guide schedules and resolving conflicts
- Ensuring guides receive timely updates, instructions, and briefing materials
Customer Service
- Responding to client inquiries via email, WhatsApp, and phone
- Handling urgent issues, last-minute requests, and operational questions
- Providing clear and friendly support aimed at maintaining excellent customer satisfaction
Quality Control
- Monitoring tour performance, attendance, and customer feedback
- Reporting issues or improvement areas
- Following up with guides on quality standards
Scheduling & Reporting
- Creating monthly schedules for the guide team
- Preparing and analyzing operational reports (attendance, performance, operational issues, complaints)
- Assisting with administrative tasks as needed
RequirementsProfessional Qualifications
- Experience in tourism, hospitality, operations, or customer service (preferred)
- Previous experience in tour operations is a strong advantage
- Excellent written and spoken English
- Spanish is highly preferred
- Proficiency in Excel, Google Sheets, PowerPoint, Outlook, and basic tech tools
