The role provides comprehensive administrative and operational support across the colleague lifecycle, including recruitment, onboarding, employee administration, payroll inputs, colleague engagement and People Culture initiatives. /p pDuring the pre-opening phase, the People Culture Coordinator will play a particularly active role in supporting the recruitment and onboarding of the resort's opening team, ensuring accurate and timely administration while contributing to the creation of a positive colleague experience and the establishment of Mandarin Oriental's culture from day one. /p pAs a People Culture Coordinator, you will be responsible for the following duties: /p h3Pre-Opening Responsibilities /h3 ul liSupport the People Culture team in the coordination and administration of all pre-opening activities. /li liProvide administrative support throughout the recruitment process, including interview scheduling, candidate communication, documentation and recruitment tracking. /li liSupport the preparation of employment documentation and ensure all required information is collected accurately and within established timelines. /li liCoordinate the onboarding process for new colleagues, ensuring a smooth and welcoming experience from offer acceptance through to their first day.
/li liSupport the organisation of induction programmes, orientation activities and pre-opening training initiatives. /li liMaintain accurate recruitment, onboarding and colleague records throughout the pre-opening phase. /li liCoordinate with department heads to monitor recruitment progress, joining dates and outstanding documentation. /li liSupport the organisation of recruitment events, career fairs, assessment activities and other talent acquisition initiatives. /li liAssist with colleague accommodation, uniforms and other practical onboarding requirements in coordination with the relevant departments. /li liContribute to pre-opening colleague engagement and communication initiatives. /li /ul h3Operational Responsibilities /h3 ul liProvide daily administrative and operational support across all People Culture activities. /li liMaintain accurate and up-to-date colleague files, HR systems, databases and documentation throughout the employment lifecycle. /li liPrepare employment-related documentation, letters, certificates and other People Culture correspondence. /li liSupport new joiner, transfer, promotion and termination administration, ensuring documentation is processed accurately and timely. /li liCollect and verify attendance, absence, holiday, overtime and other information required for payroll processing. /li liSupport payroll administration by ensuring accurate and timely submission of relevant data and documentation. /li liAssist colleagues with routine People Culture enquiries, providing professional and timely support. /li liSupport recruitment activities, including job postings, candidate screening coordination, interview scheduling and candidate communication. /li liCoordinate onboarding and induction activities for new colleagues. /li liSupport the administration of training and development initiatives in coordination with the Learning Development function. /li liAssist with colleague engagement activities, recognition programmes, internal events and wellbeing initiatives.
/li liSupport the preparation of People Culture reports, presentations, statistics and workforce information. /li liMaintain confidentiality and ensure colleague personal information is handled in accordance with applicable data protection requirements. /li liSupport compliance with company policies, employment procedures and applicable labour regulations. /li liCoordinate effectively with Payroll, Finance and operational departments to ensure accurate colleague administration. /li liSupport People Culture projects and initiatives aimed at continuously improving the colleague experience. /li liContribute to maintaining a welcoming, accessible and professional People Culture office. /li liPerform any other reasonable duties consistent with the responsibilities and operational requirements of the role. /li /ul h3Requirements /h3 ul liDegree or diploma in Human Resources, Business Administration, Psychology, Hospitality Management or a related discipline is preferred. /li liPrevious experience in Human Resources, People Culture, recruitment or HR administration, preferably within the hospitality or luxury service industry. /li liPrevious experience within a luxury five-star hotel or resort is considered an advantage. /li liPrevious pre-opening or high-volume recruitment experience is considered a strong advantage. /li liGood understanding of HR administration and the employee lifecycle. /li liKnowledge of Italian employment administration and labour regulations is considered an advantage. /li liStrong administrative and organisational skills with excellent attention to detail. /li liAbility to manage multiple priorities and deadlines in a fast-paced environment. /li liExcellent interpersonal and communication skills with a genuine interest in supporting colleagues. /li liProfessional, approachable and service-oriented attitude. /li liHigh level of discretion and ability to handle confidential and sensitive information appropriately. /li liStrong problem-solving skills and a proactive approach. /li liExcellent knowledge of Microsoft Office, particularly Excel, Word and PowerPoint. /li liExperience with HR information systems and recruitment platforms is considered an advantage. /li liFluent English and Italian, both written and spoken. /li /ul h3Compensation /h3 pb€28,000 – €30,000 Gross Annual Salary (RAL) /b /p /p #J-*****-Ljbffr
