Job Description:
In a fast-growing environment with high performance culture, Fortinet is looking for a Talent Operations Partner to support with our growing EMEA team.
What you'll do:
Serve as a trusted HR Operations point of contact for employees and managers across Italy, Spain, and Portugal, while maintaining the flexibility to provide operational support across the broader EMEA region as required.
Deliver high-quality, responsive, and employee-focused HR services, leveraging HR systems, digital tools, self-service, automation, and standardised processes to improve efficiency and employee experience.
Manage end-to-end HR operations across the employee lifecycle, including recruitment support, onboarding, employment contracts and documentation, employee changes, benefits administration, payroll-related activities, immigration, and offboarding.
Take ownership of HR operational processes, ensuring activities are completed accurately and within required timelines while proactively managing dependencies, risks, exceptions, and stakeholder expectations.
Maintain, update, validate, and audit employee data within the HR Information System (HRIS), ensuring strong data integrity, governance, accuracy, and compliance.
Perform regular data audits and reconciliations, proactively identifying discrepancies, addressing root causes, and implementing controls to prevent recurring data quality issues.
Apply strong knowledge of Italian employment legislation, statutory requirements, and HR practices, ensuring operational processes and documentation remain compliant with local requirements.
Develop and maintain an understanding of employment and operational requirements across Italy, Spain and Portugal, working collaboratively with internal and external subject-matter experts where appropriate.
Ensure appropriate local legal and regulatory requirements are embedded within HR operational processes, systems, documentation, and controls across supported countries.
Analyse end-to-end HR processes to identify manual touchpoints, bottlenecks, duplication, recurring issues, and control gaps, recommending and implementing practical improvements.
Drive continuous improvement by identifying opportunities to simplify, standardise, digitise, and automate HR processes, reducing unnecessary administration and creating scalable ways of working.
Partner with HRIS teams to translate operational challenges and business requirements into effective system and process enhancements, focusing on the business need rather than prescribing technical solutions.
Support HR system and process changes through requirements gathering, process mapping, user acceptance testing (UAT), implementation, documentation, and post-implementation review.
Confidently leverage AI-enabled tools within HR Operations to support productivity, process analysis, knowledge management, administrative efficiency, and continuous improvement,
while maintaining appropriate governance, confidentiality, accuracy, and human oversight.
Champion AI-enabled and digital ways of working, helping identify appropriate use cases and supporting colleagues in adopting new tools and more efficient working practices.
Use operational data, reporting, and trend analysis to identify recurring issues, service gaps, process failures, and improvement opportunities, supporting data-driven decision-making.
Apply root-cause analysis to recurring operational issues and develop sustainable solutions rather than relying on manual workarounds.
Develop and maintain standard operating procedures (SOPs), process maps, knowledge articles, templates, controls, employee communications, and governance documentation to promote consistency and scalability across EMEA HR Operations.
Coordinate and monitor immigration and mobility-related processes, ensuring accurate documentation, appropriate tracking, compliance, and timely completion of regulatory requirements.
Monitor external vendor performance and operational dependencies, proactively escalating service issues and identifying opportunities to improve processes, controls, and ways of working.
Contribute to regional and global HR transformation, automation, and process improvement projects, supporting the implementation and adoption of HR initiatives.
Provide operational and analytical support to the wider EMEA HR team and other regions as required, promoting standardisation and scalable solutions while accommodating local country requirements.
What you'll bring:
Demonstrated experience using AI tools to support and enhance HR operations, with practical examples such as automating routine tasks, improving workflows, analysing data, creating content, or driving process efficiencies.
Excellent written and verbal communication skills, with the ability to communicate effectively with employees, managers, senior stakeholders, and external partners across international environments.
Proven experience delivering end-to-end HR Operations support within a complex, international and fast-paced environment.
Fluency in English is required.
Professional proficiency in Spanish and/or Portuguese would be highly desirable, supporting effective communication with employees, stakeholders, and vendors across the EMEA region.
Strong analytical, critical-thinking, and problem-solving skills, with the ability to identify root causes, evaluate operational challenges, and develop practical and scalable solutions.
Demonstrated process improvement mindset,
with the ability to identify inefficiencies, manual touchpoints, process gaps, and opportunities for standardisation and automation.
Strong understanding of HR systems, operational workflows, and data, with the ability to identify opportunities to optimise HR technology and improve the effectiveness of system-enabled processes.
Confident in leading and navigating AI-enabled ways of working, using AI to support HR Operations, improve productivity, automate administrative activities, analyse information, and enhance process efficiency while maintaining appropriate human oversight and governance.
Strong data accuracy and governance mindset, with experience maintaining, auditing, validating, and interpreting HR data to support operational decision-making.
Proficient in HRIS platforms and digital productivity tools, including Microsoft Excel, Word, Outlook and PowerPoint; experience with Oracle HCM or similar enterprise HR platforms would be advantageous.
Ability to support system and process changes, including requirements gathering, process mapping, user acceptance testing (UAT), implementation, and continuous improvement.
Highly organised, with the ability to manage multiple complex and competing priorities, dependencies, deadlines, and operational risks effectively.
Demonstrated ability to manage multiple end-to-end employee lifecycle processes simultaneously, including hiring, onboarding, payroll-related activities, benefits, immigration/mobility, employee changes, and offboarding.
Strong attention to detail, with the ability to maintain accuracy while operating at pace and managing high-volume or time-sensitive activities.
Comfortable with the ability to navigate evolving processes, technologies, priorities, and responsibilities.
Ability to balance operational execution with continuous improvement, ensuring day-to-day deliverables are completed while proactively identifying opportunities to improve how work is performed.
Continuous improvement and digital-first mindset, with a willingness to challenge existing ways of working and explore how technology, automation, AI, and self-service can create more efficient and scalable HR services.
This role is governed by the applicable CCNL, including its classification, minimum salary levels and pay progression rules, and agevolazioni.
In line with EU pay transparency requirements, remuneration is determined based on objective factors, including the relevant National Collective Labor Agreement (CCNL), the specific job profile, and seniority level.
The target gross annual salary (RAL - Retribuzione Annua Lorda) for this position is expected to range between €44,900 and €74,000.
The exact salary offer will be determined based on the successful candidate's skills, qualifications, experience, and specific geographic location/work arrangements.
