Private Clients Coordinator - Maternity Cover

The role reports into the local Guest Experience & Services Director and is based in Fidenza Village. It is offered on a maternity cover full-time contract. This offer is available also for candidates belonging to protected categories as in line with law 68/99, article 18

Role Purpose

The Private Clients Coordinator provides the operational backbone that enables the Village Private Clients team to deliver seamless, personalised experiences for high-value guests. The role exists to protect service consistency, data quality and event readiness so the Private Clients programme can grow client engagement, repeat visits and commercial value for The Bicester Collection.

Key Accountabilities

Client Scheduling & Operational Readiness

Own the coordination routines that ensure Private Client appointments, Personal Shopping sessions and Apartment moments are prepared accurately and delivered smoothly.

• Coordinating diaries, bookings and preparation details so the right colleagues have the right information at the right time





• Ensuring guest requests, hospitality requirements and visit materials are captured and communicated with care

• Working closely with Hospitality, Operations, Retail and brand partners to create a joined-up guest experience

CRM Data Quality & Client Insight

Ensure client information is accurate, current and useful, enabling the team to personalise every interaction and prioritise commercial opportunity.

• Maintaining CRM records with visit notes, preferences, purchase history and follow-up actions

• Preparing briefing notes that help the team tailor outreach, appointments and event hosting

• Identifying incomplete or outdated profiles and escalating data quality gaps for resolution

Guest Experience Support

Contribute to a luxury-grade guest experience by ensuring every interaction, communication and private space reflects the standards of the Collection.
