About Acorn International School
Founded in 1999, Acorn International School offers a dual-curriculum English/Italian education to students aged 3 to 18 on its campus in the Veio Park, in northern Rome. Recognised by the Italian Ministry of Education and Merit and authorised as an IB World School, Acorn combines the UK and Italian curricula, leading students to either the Italian Maturità or the IB Diploma. The role
Acorn International School (AIS) is hiring a full-time School Office Administrator for its front and back office. You will join the team that welcomes families, students, staff and visitors, and you will help keep the school's daily administration accurate and up to date.
- School: Acorn International School, part of Ingenium Education Group
- Location: Via della Giustiniana 1200, Rome
- Hours: 38 hours per week, Monday to Friday, with some flexibility for school events
- Contract: Tempo pieno, 12-month fixed-term contract, CCNL ANINSEI, with the possibility of renewal
- Level: 3 (Level 4 for candidates with at least 5 years of experience in a school office or similar administrative role)
- Minimum base salary: €18,450 gross per year at Level 3, €19,387 at Level 4 (13 monthly payments)

Front office
You are the school's first point of contact, in person, by phone and by email.
- Welcome families, students, staff and visitors at reception, and manage visitor sign-in.
- Answer the school's phone and email, and pass each query to the right person.
- Keep families and staff informed with notices, reminders and day-to-day messages.
- Run dismissal: check pick-up authorisations and manage late arrivals and early collections.
- Help coordinate the school bus service with families, drivers and staff.
- Record daily attendance and follow up unexplained absences with families.
- Supervise students when needed, for example at arrival, at dismissal or while they wait at the office.
Back office
Behind the desk, you keep student records, documents and supplies in order.
- Enter and update student details in the school's records, accurately and on time.
- Collect, check and file the documents that families and staff must provide.
- Prepare enrolment and re-enrolment paperwork, and issue certificates on request.
- Manage uniform orders, stock and distribution.
- Distribute stationery and keep office and classroom supplies in stock.
- Support trips, activities and school events with consent forms, bookings and lists.
- Keep files and archives in order,
and handle personal data confidentially, in line with GDPR.
Who we are looking for
Someone who is at ease with every part of a school community.
- Fluent in English and Italian, spoken and written.
- Confident with parents: clear, calm and courteous, also in difficult conversations.
- Caring with students: patient, attentive and alert to their safety.
- Professional with teachers: reliable, discreet and easy to work with.
- Organised and precise, able to juggle a busy front desk with detailed paperwork.
- Comfortable with Microsoft Office or Google Workspace; experience with a school management system is a plus.
- Previous experience in a school office or similar administrative role is preferred.

The salary for this role is set by the CCNL ANINSEI national contract and is based on objective, gender-neutral criteria, which are the same for every candidate.
