h3About the Role /h3 pWe are looking for an experienced Project Manager to support and manage the development of a hotel project in Southern Italy. The Project Manager will be based primarily in Milan and will serve as the main point of contact and central coordinator between the company, consultants, contractors, vendors, suppliers, authorities and other third parties involved in the project. /p pThe candidate should have strong project coordination and stakeholder management skills, with preferably some experience in hospitality, hotel development, real estate or construction. The candidate must be willing and able to travel to the project site in Southern Italy as and when required to monitor project activities, attend meetings and coordinate with local stakeholders. /p h3Key Responsibilities /h3 h31. Project management and coordination /h3 ul liManage the day-to-day coordination of the project. /li liTrack project timelines, milestones, deliverables and action points. /li liMonitor project progress and ensure activities are completed as planned. /li liIdentify delays, issues and risks and coordinate appropriate solutions. /li liProvide regular updates and reports to management. /li /ul h32. Main point of contact /h3 ul liAct as the main point of contact between the company and all project stakeholders. /li liCoordinate communication between consultants, contractors, vendors, suppliers and third parties. /li liOrganise meetings, follow-ups and action points. /li liEnsure all stakeholders are aligned on project requirements, timelines and responsibilities. /li /ul h33. Consultant, vendor and third-party management /h3 ul liCoordinate with architects, engineers, designers, contractors, suppliers and specialist consultants. /li liTrack deliverables, responsibilities and deadlines. /li liFollow up on technical submissions, quotations and required documentation. /li liCoordinate vendor requirements and appointments. /li liAssist in resolving coordination issues between different parties. /li /ul h34. Project site coordination (Southern Italy) /h3 ul liTravel to the project site as and when required. /li liCoordinate with local contractors, consultants, suppliers and other stakeholders. /li liAttend site meetings and inspections. /li liMonitor progress and report site issues to management. /li liEnsure decisions and project requirements are properly implemented on site. /li /ul h35. Hospitality and hotel project knowledge /h3 ul liHave a good understanding of how the hospitality and hotel industry operates. /li liUnderstand the key requirements involved in developing and setting up a hotel, including:
ul liHotel planning and design /li liGuest areas and guest experience /li liBack‑of‑house operations /li liFB and kitchen requirements /li liHousekeeping and laundry /li liSpa and wellness facilities /li liSecurity and guest services /li liIT and technology systems /li liFFE and OSE /li liMEP and building services /li liHotel operations /li liPre‑opening requirements /li /ul /li liCoordinate with hospitality consultants, hotel operators and specialist vendors where required. /li /ul h36. Italian laws, regulations and taxation /h3 ul liHave a good understanding of Italian local laws, regulations and business practices relevant to project execution. /li liKnowledge of Italian taxation, VAT, invoicing and commercial requirements is preferred. /li liCoordinate with legal, tax, accounting and regulatory advisors when required. /li liAssist in coordinating permits, approvals, licences and authority requirements. /li /ul h37. Budget, procurement and commercial coordination /h3 ul liAssist in monitoring project budgets and costs. /li liReview and coordinate quotations and proposals from vendors and contractors. /li liCoordinate with finance and commercial teams regarding invoices, payments and contracts. /li liTrack variations and additional costs. /li liSupport procurement and vendor selection activities. /li /ul h38. Risk and quality management /h3 ul liIdentify project risks, delays and potential issues. /li liCoordinate with relevant parties to resolve problems. /li liMonitor the quality and compliance of project activities. /li liEscalate critical issues to management with appropriate recommendations. /li /ul h39. Reporting and documentation /h3 ul liMaintain project records and documentation. /li liPrepare project updates, trackers and status reports. /li liMaintain meeting minutes and action trackers. /liliTrack approvals, submissions, deliverables and pending items. /li liEnsure important project decisions and communications are properly documented. /li /ul h310. Completion and handover /h3 ul liAssist in coordinating project completion and handover activities. /li liCoordinate snagging, testing and commissioning. /li liTrack completion of outstanding works. /li liEnsure required documentation, certifications and warranties are collected. /li liSupport coordination with the hotel operator and relevant stakeholders during pre-opening.
/li /ul h3Requirements /h3 h3Essential requirements /h3 ul li5–8+ years of relevant project management / project coordination experience. /li liExperience managing or coordinating consultants, contractors, vendors and third parties. /li liExperience in hospitality, hotel development, real estate or construction is preferred. /li liGood understanding of the Italian market and local regulations. /li liKnowledge of Italian taxation, VAT and commercial practices is an advantage. /li liStrong organisational and coordination skills. /li liGood communication and stakeholder management abilities. /li liAbility to manage multiple tasks and stakeholders simultaneously. /li liStrong problem-solving and follow‑up skills. /li liWillingness and ability to travel to the project site in Southern Italy as and when required. /li liGood spoken and written English is essential. /li liItalian language proficiency is strongly preferred. /li liKnowledge of additional languages, such as Hindi, would be an added advantage. /li /ul h3Preferred experience /h3 pCandidates with experience in any of the following areas will be considered particularly suitable: Hotel / Hospitality Projects, Hotel Development, Luxury Hospitality, Resort Development, Real Estate Development, Construction Project Management, Hotel Renovation / Conversion, Hotel Pre‑Opening, Hospitality Operations, Luxury Hotels / Resorts, International Hotel Brands. /p h3Key competencies /h3 pProject Coordination, Stakeholder Management, Vendor Consultant Coordination, Hospitality Knowledge, Communication Skills, Italian Market Knowledge, Regulatory Awareness, Commercial Awareness, Procurement Coordination, Problem Solving, Negotiation, Reporting Documentation, Time Management, Attention to Detail. /p h3The Ideal Candidate /h3 pYou are hands‑on, organised and proactive, with the ability to independently coordinate multiple stakeholders and keep project activities moving efficiently. /p pYou will be based in Milan, with the flexibility to travel to Southern Italy whenever required.
