Castello di Vicarello | Maremma, Tuscany, Italy
A small castle. A personal approach to hospitality. An opportunity to make a difference.
Castello di Vicarello is looking for a passionate, proactive and guest-oriented Guest Relations Manager to join our Front Office team.
Hidden in the Tuscan Maremma, Castello di Vicarello is a family-run luxury hospitality property with just 11 keys. Our approach to hospitality is personal, understated and deeply connected to the surrounding territory. We believe that the best guest experiences are not simply delivered through excellent service, but created through genuine relationships, attention to detail and a good understanding of what makes each guest's stay special.
This is an opportunity for someone who wants to go beyond the traditional front desk role. As the dedicated member of our Guest Relations function, you will have the opportunity to build meaningful relationships with our guests, develop memorable experiences and contribute directly to the way we welcome and look after people at Vicarello.
We are looking for someone who combines a natural sense of hospitality with initiative, organisation and a commercial mindset — someone who enjoys taking responsibility, turning ideas into experiences and seeing the results of their work.
Your Role
You will be an active member of the Front Office team, working closely with the Front Office Manager and the wider team to ensure a seamless guest journey, from the first contact before arrival to the final farewell.
Guest Experience & Relations
- Contact guests before arrival to understand their preferences, anticipate their needs and propose tailored activities and experiences.
- Build genuine relationships with guests and provide attentive, personalised service throughout their stay.
- Coordinate guest arrivals, check-in, room escorting and departures, ensuring that our service standards are consistently met.
- Provide recommendations for restaurants, local attractions, shopping, cultural visits and experiences across the Maremma and wider Tuscany.
- Handle guest requests, feedback and complaints with professionalism, empathy and a solution-oriented approach.
- Maintain accurate guest information and daily handovers to ensure continuity of service across the team.
Experiences & Commercial Development
- Actively promote and sell our activities, private experiences and additional services,
matching each proposal to the guest's interests.
- Develop a thorough understanding of our experiences, local partners and the opportunities available to guests during their stay.
- Follow up on enquiries and proposals, helping guests turn their interests into confirmed bookings.
- Monitor activity sales and guest engagement, using previous-season results as a benchmark to understand performance and identify opportunities for improvement.
- Contribute ideas to improve our offering, guest satisfaction and the overall experience at Vicarello.
Front Office Operations
- Maintain an excellent knowledge of our suites, rates, availability, facilities and service standards.
- Support check-in and check-out procedures and assist with day-to-day Front Office operations.
- Keep guest records, reports and internal communication accurate and up to date.
- Monitor guest feedback and online reviews, identifying recurring issues and suggesting practical improvements.
- Work collaboratively with other departments to ensure that every aspect of the guest experience feels seamless and considered.
Who We Are Looking For
We are looking for someone who is genuinely passionate about hospitality and understands that luxury is often found in the smallest details.
You should bring:
- Previous experience in guest relations, Front Office or a similar guest-facing role, ideally within luxury hospitality.
- Excellent interpersonal and communication skills, with a warm, confident and professional manner.
- Fluent English; additional languages are a strong advantage.
- A proactive, hands-on attitude and the ability to work independently while remaining an active team player.
- Strong organisational skills, attention to detail and the ability to manage several requests at once.
- A natural ability to understand guests' needs and recommend experiences in an authentic, engaging way.
- A commercial mindset and an interest in developing experience sales.
- Good computer skills,
including Microsoft Office and hospitality management systems. Knowledge of Ericsoft or comparable PMS platforms is an advantage.
- Flexibility to work weekends, holidays and variable shifts according to the operational needs of the property.
- A valid driving licence and access to a car, which are essential for this position.
- A well-groomed appearance, discretion, empathy and a genuine sense of responsibility.
Most importantly, we are looking for someone with personality, curiosity and the motivation to make a real contribution. We value initiative and passion just as much as experience.
Performance & Development
At Vicarello, we believe that good work should be recognised.
The role includes clear performance indicators, including guest engagement, activity sales and the results achieved compared with the previous season. These benchmarks will help us understand what is working, where we can improve and how the role can develop over time.
For someone who performs particularly well and makes a meaningful contribution to the business, there will be the opportunity for additional performance-based bonus targets at the end of the season, based on results and agreed objectives.
We want the person in this role to feel ownership of their work, see the impact of their contribution and have the opportunity to grow alongside the property.
What We Offer
- A full-time position within a family-run luxury hospitality property.
- A seasonal on-site role from February to November, with the possibility of partial smart working during the remaining months, depending on operational needs.
- Accommodation approximately 10 minutes by car from the property.
- Lunch and dinner provided on working days.
- A close-knit team and a direct working relationship with management.
- The opportunity to take ownership of Guest Relations in an intimate property where personal attention and individual initiative genuinely matter.
- The possibility to contribute ideas, develop new approaches and see the direct results of your work.
