We're Hiring | Senior Registrar – Milan

Carl Kostyál is looking for an experienced and highly organised Senior Registrar to join our team in Milan.

This is an exciting opportunity to work within a dynamic international contemporary art gallery, overseeing artwork logistics, inventory management and exhibition operations across our locations in Milan and Stockholm, as well as international art fairs and projects.

Location: Milan, Italy (on-site, Monday–Friday, 9:00 AM–6:00 PM, with occasional weekend work required)

Position: Senior Registrar

Salary: €38,000–€48,000 gross per annum, depending on experience

Experience: Minimum 4–5 years in fine-art logistics, international shipping or gallery registration

Key Responsibilities

- Artwork Inventory & Documentation: Maintain accurate inventory records, artwork locations, condition reports and supporting documentation.
- International Shipping & Logistics: Coordinate domestic and international fine-art shipments, including packing, customs clearance, import/export documentation and deliveries.
- Exhibitions & Art Fairs: Oversee artwork movements, installations and deinstallations for gallery exhibitions, international art fairs and external projects.
- Storage Management: Maintain accurate storage records, coordinate warehouse operations and oversee artwork movements between locations.
- Insurance & Conservation: Coordinate artwork insurance, condition reporting, conservation requirements and risk management.
- Client Presentations:



Coordinate artwork renderings and visual presentations for collectors and clients.
- Team & Supplier Coordination: Manage relationships with fine-art shippers, art handlers, installers, conservators and other external suppliers.
- Budget Management: Prepare and monitor shipping, storage and logistics budgets, obtaining competitive quotations and controlling expenditure.
- Gallery Coordination: Work closely with Gallery Directors, sales teams, artists, collectors and international partners to ensure smooth day-to-day operations.

Requirements

- At least 4–5 years of relevant experience in an established contemporary art gallery, museum, fine-art shipping company or similar environment.
- Strong knowledge of international fine-art shipping, customs procedures and import/export regulations.
- Excellent organisational skills, attention to detail and ability to manage multiple projects and deadlines.
- Experience using artwork inventory and collection management software.
- Strong communication and problem-solving skills, with the ability to work independently and collaboratively.
- A good command of English is essential, both written and spoken.
- Previous experience coordinating international exhibitions and art fairs is highly desirable.
