Purchasing and Logistics Specialist Role Overview The Purchasing & Logistics Specialist ensures material availability and reliable operational supply flows by combining operational purchasing, forward-looking material planning, inventory control and logistics coordination. The role translates production plans, customer requirements and forecasts into timely replenishment actions, manages purchase orders through delivery, and coordinates with Production Planning and Warehouse to prevent shortages and support customer on time delivery. The role is operational rather than strategic: supplier strategy, strategic sourcing, supplier development and major commercial negotiations remain under the Supply Chain Manager. Physical warehouse execution remains with the Warehouse Specialists.
Key Responsibilities
Material Planning and Replenishment:
· Review MRP outputs, production plans, customer orders and available forecasts to determine material requirements over appropriate planning horizons.
· Define and maintain replenishment quantities, required dates and purchasing priorities, taking account of lead times, existing stock, open orders and agreed inventory parameters.
· Identify future shortages and excessive stock early; initiate corrective actions and reduce avoidable urgent or spot purchasing.
· Maintain reliable material-planning parameters and purchasing data in SAP; investigate exceptions and changes with the relevant functions. Operational Purchasing
· Create and manage purchase requisitions (RdA), where applicable, and issue and maintain purchase orders (OdA) in SAP within approved purchasing conditions and authority limits.
· Obtain supplier confirmations; monitor outstanding orders, agreed delivery dates, quantities and deviations; follow up proactively until receipt.
· Handle routine supplier communications and delivery issues, including expediting,
rescheduling and discrepancies.
· Monitor purchase prices and changes against agreed conditions; escalate material price increases, contractual exceptions, significant supplier risks and decisions requiring strategic negotiation to the Supply Chain Manager.
· Maintain usable records of supplier commitments and operational delivery performance to support the Supply Chain Manager’s strategic supplier reviews. Inbound Logistics and Material Flow Coordination
· Coordinate inbound delivery schedules, shipment consolidation opportunities, transport follow-up and visibility of goods in transit, including relevant SAP records.
· Monitor inbound freight costs and operational delivery performance, highlighting avoidable expenditure and service issues.
· Align material availability and priorities with Production Planning and coordinate warehouse execution requirements with the Warehouse Specialists.
· Resolve day-to-day material-flow exceptions across suppliers, transport, Warehouse and Production Planning, escalating competing priorities or unresolved risks.
· For subcontracted production, execute and follow up associated purchasing transactions and coordinate material availability and logistics movements in line with plans and priorities owned by Production Planning; do not own subcontracted production scheduling or capacity allocation. Inventory Control and Improvement
· Monitor inventory levels, stock rotation and slow-moving materials against agreed targets,
distinguishing obsolete items where relevant.
· Propose and coordinate actions to reduce excess and obsolete inventory, with approval and execution responsibilities agreed with the relevant owners.
· Work with Warehouse Specialists to investigate discrepancies between physical stock and SAP records; retain warehouse ownership of physical counts, stock movements and location accuracy.
· Support practical improvements to replenishment, planning and logistics processes without creating unnecessary administration. Performance Assurance and Cross-functional coordination
· Monitor material availability, shortage frequency, purchase-order confirmations and supplier delivery performance; maintain a clear exception and escalation view.
· Support customer on-time delivery (OTD) by making material risks visible early and implementing agreed recovery actions.
· Coordinate closely with Production Planning, which owns internal and subcontracted production schedules and priorities; with Warehouse Specialists, who own physical handling; and with the Supply Chain Manager, who owns strategic Procurement and overall supply chain decisions.
Requirements:
• Experience in operational purchasing, materials planning or supply chain coordination in a manufacturing environment.
• Ability to plan replenishment and manage purchase orders, supplier follow-up and material shortages independently.
• Good working knowledge of ERP/SAP purchasing, inventory and planning data.
• Strong analytical, organisational and problem-solving skills, with practical judgement when priorities conflict.
• Clear communication and collaboration with suppliers, Production Planning, Warehouse and management.
• Comfortable working hands-on in a small manufacturing business and improving processes pragmatically.
