The Watermill at Posara | Tuscany, Italy
Seasonal position | Room and board available if required
About The Watermill
The Watermill at Posara is a distinctive retreat in the heart of Tuscany, offering guests an opportunity to experience the beauty of the Italian countryside in a welcoming, creative and inspiring environment.
Combining intimate hospitality with creative learning, workshops and opportunities to connect, The Watermill offers something beyond a traditional holiday. It is a place where guests can slow down, explore their creativity, discover the local area, and feel part of a special community.
We are looking for a Guest Experience & Operations Coordinator to help deliver exceptional guest experiences while ensuring the smooth and efficient running of the business.
The Role
The Guest Experience & Operations Coordinator will play a central role in the day-to-day running of The Watermill, supporting guests throughout their stay and coordinating the practical details that bring our retreats and hospitality experiences to life.
This is a varied, hands-on position combining guest relations, retreat coordination, property operations, administrative support, and assistance with kitchen and meal service.
Reporting to the General Manager and Operations Manager, you will help create a seamless guest experience, ensuring that everything runs smoothly behind the scenes while maintaining the warm, personal atmosphere that makes The Watermill special.
We are looking for someone who is organised, proactive, adaptable, and genuinely enjoys looking after people, with the initiative to take ownership of tasks and the flexibility to support different areas of the business when needed.
Key Responsibilities
1. Guest Experience & Hospitality
- Ensure guests feel welcomed, comfortable, and well informed throughout their stay.
- Respond to questions and resolve guest issues thoughtfully and efficiently.
- Maintain accurate guest information and relevant preferences.
- Communicate information about the property, facilities, activities, and local area.
- Gather guest feedback and identify opportunities to improve the guest experience.
- Help create a welcoming, relaxed, and inclusive atmosphere.
2. Retreat & Workshop Coordination
- Support the delivery of creative retreats.
- Liaise with tutors and guests to coordinate schedules, requirements, and practical arrangements.
- Assist with room allocations, departure information, dietary requirements, and special requests.
- Help prepare spaces for workshops, group activities and shared experiences (including pre-season and post-season tasks).
- Ensure retreat leaders have the information and practical support they need.
- Coordinate transitions between arriving and departing guest groups.
- Identify opportunities to enhance the retreat experience through thoughtful details and local partnerships.
3. Day-to-Day Property Operations
- Coordinate daily operational activities to ensure the property is welcoming, well maintained, and ready for guests.
- Liaise and assist (where needed) with housekeeping, maintenance, outside spaces, and external service providers.
- Check room readiness and report maintenance or housekeeping issues.
- Maintain operational checklists, schedules, and systems.
- Monitor supplies and amenities and arrange replenishment when required.
- Help ensure communal spaces are clean, tidy, organised, and inviting.
- Identify operational issues early and take a proactive approach to resolve them.
4. Kitchen Assistance & Meal Service
- Assist with the preparation and organisation of meals, refreshments and snacks for guests, in coordination with the kitchen team or designated cook.
- Help prepare the dining area for breakfast, lunch, dinner and other shared meals as required.
- Support meal service, ensuring guests feel welcomed and well looked after.
- Assist with setting and clearing tables, washing dishes, and maintaining a clean, organised kitchen and dining space.
- Help monitor kitchen supplies, ingredients and other essential items, communicating replenishment needs.
- Liaise with the kitchen team regarding guest numbers, meal timings, dietary requirements and allergies.
- Follow appropriate food hygiene, food safety and health and safety procedures (HACCP training will provided if not already completed).
- Contribute to a relaxed, welcoming dining experience that reflects The Watermill's approach to hospitality.
Kitchen responsibilities will vary according to guest numbers, retreat schedules, and the needs of the business. The role is intended to provide practical support rather than replace a dedicated chef or kitchen lead, where one is required.
5. Administration & Organisation
- Assist with coordinating suppliers, purchases, invoices, and administrative tasks.
- Maintain clear documentation, checklists, and standard operating procedures.
- Support the managers with planning, reporting, and other operational priorities.
- Help improve systems and processes to make day-to-day operations more efficient.
6. Brand, Community & Continuous Improvement
- Represent The Watermill's values and personality through every guest interaction.
- Build positive relationships with guests, tutors, suppliers, and local partners.
- Contribute ideas to improve guest satisfaction, operational efficiency, and the overall retreat experience.
- Support initiatives that encourage repeat bookings, referrals, and a strong sense of community.
- Help ensure that the experience delivered consistently reflects the Watermill's distinctive character.
About You
You are a naturally organised, personable, and resourceful individual who enjoys bringing people together and making things happen behind the scenes.
You understand that excellent hospitality is about more than delivering a service: it is about creating an environment where people feel welcomed, cared for, and able to enjoy their experience fully.
You are equally comfortable communicating with guests, coordinating practical arrangements, managing administrative tasks, and rolling up your sleeves to help with meal preparation or service when needed.
You will ideally have:
- Experience in hospitality, guest relations, retreat coordination, events, or operations.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal skills.
- A warm, approachable and professional manner.
- A proactive, solutions-focused attitude and the ability to work independently.
- Confidence managing multiple priorities in a changing environment.
- A willingness to assist with kitchen preparation, meal service and related practical tasks.
- An understanding of kitchen cleanliness, food hygiene and safe food handling, with a willingness to undertake any required training.
- Strong attention to detail and a commitment to high standards.
- A flexible, hands-on approach, and a genuine enjoyment of looking after people.
- An interest in creative experiences, retreat environments, and hospitality.
- Fluency in English, with Italian language skills considered a significant advantage.
Experience working in a small, independent business or boutique hospitality environment would be an advantage.
A valid driving licence would also be an advantage, particularly for assisting with local errands, shopping, and guest logistics.
Right to Work
Candidates must already have the legal right to live and work in Italy. Unfortunately, The Watermill at Posara is unable to provide visa sponsorship for this position. EU/EEA and Swiss citizens, as well as candidates of other nationalities who already hold valid authorisation to work in Italy, are welcome to apply.
What Success Looks Like
Success in this role means that guests feel looked after from their first interaction with The Watermill to when they wave goodbye on the minibuses.
Retreats and stays run smoothly, communal spaces are welcoming, meals and kitchen operations are well coordinated, and the wider team has the practical support needed to deliver memorable experiences.
You will help create a calm, organised environment where the details are taken care of, the team works collaboratively, and guests can relax, connect, and enjoy their time at The Watermill.
Over time, you will also contribute to more efficient ways of working, stronger guest relationships, and the continued development of The Watermill as a distinctive destination for hospitality and creative learning.
