Overview As Congress Support Specialist, you enable successful healthcare congresses by coordinating cross-functional activities and ensuring regulatory compliance. You will collaborate with Marketing, Medical Affairs, and Patient Advocacy teams to plan and run congress logistics. You will manage contracts, vendors, and speaker arrangements, while maintaining compliance with internal SOPs and Italian regulations. The role offers exposure to international stakeholders and a dynamic, fast-paced environment. You'll support value transfers and audits, contributing to high-impact patient access initiatives.

Responsabilità

Assist in planning and executing congress-related activities with cross-functional teams

Coordinate logistics: hotel sourcing, registrations, booths, and on-site execution

Maintain relationships with organizers, vendors, and partners as primary contact

Manage contracting with booth builders, medical writing, and design vendors





Contract international speakers per internal transfer of value SOPs

Coordinate speaker logistics and accommodation per Italian/local rules

Handle AIFA filings and related documentation

Process purchase requests per procurement SOPs and bidding rules

Ensure timely budget accruals in SAP for budget control and AIFA reporting

Monitor intercompany recharges and SAP processes related to HCPs and congresses

Participate in internal/external audits; prepare disclosure docs for regulatory authorities

Requisiti fondamentali

- Bachelor's degree in a relevant field
- +2 years of progressive experience in congresses/events management or related roles in pharma/healthcare
- Fluent in English and Italian
- Cross-functional collaboration
- Attention to detail and regulatory compliance
- Vendor and contract management
- SAP (budget accruals, intercompany recharges)
