Executive & Operations Assistant – Wine & Beer | Part-time, Remote

We’re looking for a curious, organised person who enjoys variety, likes working with people and gets things done.

You’ll work directly with our CEO and COO across Frälse Wines (fralsewines.com) and Ofrälse (ofralse.com), helping with the everyday work of running and growing an independent drinks business. We work with wine import, beer and producers around the world, from discovering products to getting them onto shelves.

This is a broad assistant role covering operations, administration, logistics and sales. Your work will free up our time, keep projects moving and make sure the details are taken care of.

One day, you might arrange samples from a brewery, compare transport quotes and follow up with a customer. Another, you might gather information for a wine launch, research a new supplier or help organise a producer visit. If you enjoy learning how a business works and being involved in different parts of it, there’s plenty to get into here.

You’ll help us with:

Daily coordination: Handle enquiries, draft replies, organise information, track deadlines and follow up so that tasks get completed

Orders, logistics and samples: Coordinate with producers, warehouses and transport companies. Arrange shipments, track deliveries and help resolve delays or discrepancies.

Producers and product launches: Collect prices, product details, samples, labels and documents. Help prepare proposals and keep information up to date for Systembolaget and other partners.

Customers and sales: Contact potential customers, build relationships, follow up on quotes and help win new business.

Business administration: Organise invoices, receipts and supporting documents, update our systems and help with registrations, reporting and recurring tasks.

Research and new projects: Compare suppliers and services, investigate practical questions and suggest better ways of working.

We’ll set priorities together and build your responsibilities as you learn. You don’t need to arrive knowing every part of the drinks industry. You do need to ask useful questions, take initiative and follow things through.

We’re looking for someone who:

- Is organised and reliable, with good attention to detail.
- Can work independently while keeping others informed.
- Is comfortable picking up the phone, introducing themselves and following up.
- Listens carefully, responds well to feedback and learns from it.
- Enjoys solving unfamiliar problems and learning new tools.

You should have completed post-secondary education, such as a university degree or a higher vocational qualification, including Swedish YH. Studies in business, logistics, international trade or a related field are particularly relevant. We’d also like to see practical experience in administration, business support, logistics, customer service, sales or similar work.

Practical experience with AI tools is essential. You already use AI to help with research, comparing information, writing, analysis or administration. You can give clear instructions, check the output and take responsibility for the finished result. You should also be comfortable using spreadsheets.

Excellent written and spoken English is required. Swedish, Danish, Spanish, Portuguese, Italian or French would be a plus.

You don’t need to be a wine or beer expert, but we hope you’ll be curious about the products and the people behind them.

You’ll join a small,

informal team with room for ideas, questions and a sense of humour. Working directly with the people running the company means you’ll learn about sourcing, international trade, product launches, sales and the practical decisions behind a growing business. You’ll get to see your work turn into deliveries, relationships and products people enjoy.

Working fully remotely is absolutely possible. Being based in the Öresund region is a plus, especially if you’d enjoy meeting up occasionally. We have an office in Copenhagen, a bar and test brewery in Malmö, and our headquarters in the forests of Hallandsåsen. You’re welcome to visit and spend time with us, wherever you’re normally based.

There may also be opportunities to join tastings, producer visits and trade fairs. As we grow, there’s room to take on more responsibility, develop towards the areas you enjoy most and potentially move into a full-time role.

- Hours: Tempo parziale, 50%, approximately 20 hours per week.
- Salary: SEK 15,000 gross per month for the part-time role, plus commission on sales you bring in.
- Location: Remote, with applications welcome from Sweden and internationally.
- Schedule: Flexible, with agreed availability during Swedish business hours. We work on trust, with clear priorities and deadlines.

Apply through Indeed with your CV and a short introduction in English. Tell us why this role appeals to you, what relevant experience you bring and one concrete example of how you’ve used AI to make a task easier or better.

Job Type: Part-time

Pay: €1,250.00 per month

Expected hours: 15.0 – 20.0 per week

Application Question(s):

- Can you communicate confidently and professionally in English, both in writing and on phone or video calls?
- How do you use AI tools in your work? Give one practical example.
