Fasanara manages the largest and longest-standing Fintech Lending fund in Europe and invests in early‑stage Fintech companies via its venture capital vehicles, using its central role in the Fintech ecosystem to identify and back revolutionary new businesses.

The Role
As part of Fasanara's continued international expansion, we are opening a new office in Ferrara, Italy, overlooking the city's iconic Castello Estense. This office complements our existing operations in London (HQ), New York, and Abu Dhabi.
The Office Manager & Business Administrator will be the primary point of contact and operational lead for the Ferrara office, ensuring the smooth day‑to‑day running of the workplace while supporting the administration of Fasanara's Italian entity. The role combines office management, facilities oversight, business administration, health & safety coordination, and liaison with Fasanara's international teams.
As the position involves daily interaction with colleagues across multiple offices,
particularly London, excellent professional English communication skills are essential.
This is a fully office‑based role, requiring presence in Ferrara five days per week.
Responsibilities
Office Management & Operations
Act as the primary point of contact for all office‑related matters in Ferrara
Ensure the smooth day‑to‑day running of the office and maintain a professional, efficient, and welcoming environment
Manage office supplies, equipment, consumables, and vendor relationships
Coordinate office maintenance, repairs, and facilities management
Support onboarding for new employees joining the Ferrara office
Act as the local operational point of reference for employees and visitors
Business Administration
Support the administration of Fasanara's Italian legal entity and office operations
Maintain organised company records, documentation, and administrative files
Support the Finance team by collating and organising invoices and related documentation (statutory bookkeeping handled by external advisors)
Coordinate with external suppliers, service providers, accountants, and advisors where required
Assist with operational processes and administrative projects supporting the growth of the office
Health & Safety & Compliance
Coordinate the office's health and safety activities and support compliance with Italian workplace regulations (D.Lgs 81/2008)
Coordinate assessments, training, and workplace inspections as required
Maintain records and documentation relating to workplace safety and operational compliance
Liaise with external providers and advisors to keep the office compliant with applicable regulations
Leadership & Stakeholder Support
Provide ad hoc support to the CEO Office and senior leadership,
including occasional travel coordination, meetings, and company events, in partnership with London
Build strong working relationships across London, New York, Abu Dhabi, and other locations, and act as the operational liaison between Ferrara and the London headquarters
Help foster a positive office culture and employee experience
Requirements
Essential
Right to work in Italy
Fluent Italian and professional‑level English, written and spoken
Previous experience in Office Management, Business Administration, Operations, or a similar role
Experience maintaining business records, invoices, or operational documentation
Strong attention to detail; reliable, proactive, and solutions‑oriented
Willingness to work fully office‑based in Ferrara five days per week
Willingness to undergo full health and safety training and act as the company's designated RSPP (Responsabile del Servizio di Prevenzione e Protezione)
Desirable
Knowledge of Italian workplace health and safety requirements
Extensive experience managing office operations within Italy
Experience supporting finance administration, invoicing, or company record keeping
Experience organising company events, meetings, and travel
Financial services, professional services, or corporate environment experience
Holding H&S; training and certificates is a plus
